Seeking a professional, organized, and dependable Administrative Assistant to support daily office operations and assist the Administrator, Director of Nursing and HR with administrative tasks. This position serves as a key point of contact for patients, families, referral sources, and staff by providing exceptional customer service, managing office communications, and maintaining accurate records and documentation.
Key Responsibilities
- Answer and direct incoming phone calls in a professional and courteous manner
- Greet visitors and assist patients, families, vendors, and healthcare partners as needed
- Assist the Administrator and Director of Nursing with daily administrative tasks and special projects
- Maintain and organize employee personnel files, HR records, and compliance documentation
- Assist with onboarding paperwork and employee file management
- Prepare, scan, file, and maintain confidential documents and records
- Monitor office supplies and coordinate ordering as needed
- Assist with scheduling meetings, interviews, and staff appointments
- Support payroll, timekeeping, and employee documentation processes as assigned
- Maintain accurate records in company databases, EMR systems, and shared files
- Assist with data entry, reporting, and administrative support for clinical and operational teams
- Ensure compliance with company policies, HIPAA regulations, and confidentiality standards
- Perform other administrative duties as assigned
Qualifications
- High school diploma or equivalent required; Associate's degree preferred
- Minimum of 1 year of administrative, office assistant, or customer service experience
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to prioritize tasks and work independently in a fast-paced environment
- Professional demeanor and strong customer service skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Ability to handle confidential information with discretion
Preferred Experience
- Experience in a hospice, home health, healthcare, or medical office setting
- Experience with HR file management and employee onboarding processes
- Familiarity with EMR systems and healthcare documentation
- Experience supporting executive leadership or management teams
