Responsibilities
- Manage front desk duties, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems, handle incoming calls, and direct inquiries efficiently
- Maintain organized filing systems, including digital files using Microsoft Office and Adobe tools
- Manage, maintain, route, and coordinate medical records and physician's orders
- Perform data entry, proofread documents, and support clerical tasks with accuracy and attention to detail
- Assist with calendar management, scheduling nursing and client visits, and coordinating meetings for staff
- Support bookkeeping activities using QuickBooks or similar accounting software when needed
- Provide excellent customer support by addressing inquiries promptly and courteously
- Handle office management responsibilities such as ordering supplies, maintaining equipment, and overseeing general administrative functions
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong phone etiquette skills and experience managing multi-line phone systems
- Demonstrated ability to perform data entry accurately while maintaining attention to detail
- Previous experience as a receptionist or personal assistant is advantageous
- Knowledge of medical or dental receptionist duties is a bonus but not required
- Ability to manage time efficiently in a busy environment while maintaining professionalism
