Real Estate Business & Operations Assistant
An independent real estate agent affiliated with Compass is seeking a highly organized, proactive, and business-minded Real Estate Business & Operations Assistant to support a growing real estate business.
This role is ideal for someone who is an executor at heart: someone who enjoys creating order, keeping projects moving, following through on details, and turning ideas into action.
The right person will work closely with the agent across lead management, client follow-up, events, business operations, organization, and special projects. This is not simply an administrative role. There is an opportunity to become an integral part of the business, take on increasing responsibility, and gain meaningful exposure to the business and relationship side of luxury real estate.
What You’ll Be Helping With
Responsibilities will vary, but may include:
- Managing and organizing leads, contacts, and opportunities within the CRM
- Tracking follow-ups and helping ensure prospective and existing clients stay engaged
- Maintaining task lists, deadlines, calendars, and business priorities
- Helping create and implement systems, processes, and workflows
- Supporting client communication and relationship management
- Assisting with real estate transactions, listings, and day-to-day operations
- Coordinating events from planning through execution, including vendors, guest lists, invitations, timelines, logistics, and follow-up*
- Researching properties, prospects, vendors, and business opportunities
- Coordinating with photographers, videographers, stagers, vendors, and other partners
- Assisting with database organization and targeted outreach
- Managing special projects and helping turn new ideas and opportunities into actionable plans
- Providing administrative and organizational support as needed
- Light marketing and social media assistance when needed

Skills & Experience
- Prior real estate experience strongly preferred
- Strong written and verbal communication skills
- Excellent organizational and project-management abilities
- Experience managing calendars, tasks, follow-ups, CRM systems, and events
- Comfortable working with spreadsheets, databases, and digital tools
- Strong attention to detail and ability to catch things before they become problems
- Experience coordinating events, projects, transactions, or vendors is a plus
- Real estate license is a plus, but not required

Work Style & Logistics
- Part-time position with the opportunity to grow
- Minimum commitment of two-three days per week
- Hybrid role with a combination of in-person and remote work
- Regular in-person availability in the Newport Beach / Corona del Mar area is important
- Schedule can offer some flexibility, but consistency and reliability are essential
