Samuels Associates is seeking a driven and detail-oriented Property Administrator to join the P12/Lyrik team. This individual will play a central role in the day-to-day operational processes and procedures for one of Boston's most complex and high-profile properties.Given the breadth of stakeholders involved, this role demands exceptional communication, organizational acumen, and a proactive approach to problem-solving. As the front-line ambassador for the property, the Property Administrator will serve as the primary liaison between commercial and retail tenants, contractors, and vendors ensuring seamless operations and a world-class tenant experience.
P12 /Lyrik is one of Boston's most anticipated mixed-use developments, ideally situated at the end cap of Newbury Street in the heart of Back Bay. The property bridges the city's most vibrant retail and commercial corridors and will serve as home to the global and US headquarters of CarGurus and LEGO respectively, a flagship 399-key citizenM hotel, and a dynamic multi-level retail plaza.

Support the Property Management team with administrative tasks, document management, and maintaining organized filing systems for all property records, invoices, and tenant billings

Support the property's financial operations by overseeing accounts payable, assisting with accounts receivable, processing vendor setup and invoices, ensuring budget compliance, coordinating monthly tenant work order billings, and providing administrative support in the compilation of monthly financial reporting packages.

Administer contract management and Certificate of Insurance (COI) compliance, including maintaining vendor agreements, tracking contract renewals and expirations, and ensuring all required insurance documentation remains current and compliant with company standards.

Act as the primary liaison for tenants, contractors, and vendors — handling inquiries, scheduling work, dispatching personnel, and ensuring all contractors maintain compliant insurance certificates

Manage the Tenant Experience and Work Order platform; foster strong tenant relationships throughout the fit-out process and maintain the amenity space calendar

Oversee accounts payable end-to-end, including vendor setup, invoice processing, budget compliance, and monthly tenant work order billing

Conduct weekly property walkthroughs and distribute daily and weekly reports to the team and third-party vendors
Qualifications & Skills

Bachelor's degree preferred with Real Estate, Business Administration, or a related field of study a plus

1–3 years of experience in property management, real estate operations, or a related administrative role preferred

Exceptional written and verbal communication skills with the ability to relay detailed instructions accurately and efficiently.

Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.

Proficiency in property management software and Microsoft Office Suite.

Collaborative, solutions-oriented mindset with a proactive approach to problem-solving.
Work Environment:

Primarily office-based along with walking the property as needed
