- Manage multi-line phone systems to handle high call volumes efficiently while maintaining excellent phone etiquette.
- Utilize productivity software such as Microsoft Office, Google Workspace, and QuickBooks to document interactions, update records, and perform data entry tasks accurately.
- Assist with office management duties including filing, calendar management, appointment scheduling, and maintaining organized records.
- Provide administrative support by proofreading documents, managing correspondence, and supporting front desk operations.
- Support billing and bookkeeping activities by tracking payments, updating financial records, and ensuring accuracy in data entry.
- Collaborate with team members to improve processes, ensure timely responses to customer needs, and uphold high standards of service.
Requirements
- Proven experience in customer service or office administration roles with clerical or front desk responsibilities.
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and data entry skills.
- Excellent organizational skills with the ability to multitask effectively in a busy environment.
- Bilingual abilities are highly desirable to serve diverse customer bases better.
- Prior experience with multi-line phone systems, medical or dental receptionist duties, or personal assistant roles is a plus.
- Knowledge of office management practices including filing systems, calendar management, and time management techniques.
- Demonstrated professionalism with strong phone etiquette and excellent proofreading skills.
- Technical proficiency in office productivity software combined with a proactive approach to problem-solving.
