At Clearwave Mental Health, we're helping people find hope through innovative, evidence-based mental health treatments like TMS (Transcranial Magnetic Stimulation), Spravato®, medication management, and therapy.
As a Patient Intake Specialist, you'll be the first person someone speaks with when they're searching for help. You'll educate prospective patients, answer questions, guide them through the intake process, coordinate insurance and authorizations, and help make what can feel overwhelming into something approachable and supportive.

What You'll Do
Patient Experience
- Be the friendly, knowledgeable first point of contact for new and existing patients.
- Answer incoming calls, respond to inquiries, and create an exceptional patient experience.
- Conduct educational consultations about our treatment options, including TMS and other services.
- Build lasting relationships with patients while providing compassionate support throughout their journey.
- Help patients understand treatment options, insurance coverage, and next steps.
Care Coordination
- Verify insurance benefits and coordinate prior authorizations.
- Collect and document patient medical and psychiatric history.
- Schedule evaluations and assist patients through the onboarding process.
- Coordinate with outside providers to ensure continuity of care.
- Keep patient records accurate and up to date within our electronic medical record system.
Operations & Teamwork
- Track patient leads and referral activity.
- Maintain organized documentation and follow-up tasks.
- Communicate regularly with providers and the clinical team.
- Identify opportunities to improve the patient experience and office workflows.
- Support practice growth while maintaining exceptional service.

Preferred Qualifications
- Bachelor's degree in Healthcare, Business, Psychology, Communications, or a related field (preferred, not required).
- Experience in healthcare, customer service, hospitality, recruiting, admissions, or another client-facing role.
- Mental health experience is a plus!
