Job Summary
We are seeking a detail-oriented and dependable Part-Time Bookkeeper & Office Administrator to join our growing team. This vital role combines core bookkeeping responsibilities with office management tasks, ensuring smooth financial operations and efficient administrative support. This role is responsible for managing day-to-day bookkeeping functions, including accounts payable, accounts receivable, invoicing, reconciliations, and maintaining accurate financial records in QuickBooks online. In addition to accounting responsibilities, this position will serve as a key point of contact for customers by answering phone calls, responding to emails, and providing exceptional customer service. The ideal candidate is organized, self-motivated, and comfortable balancing financial accuracy with front-office responsibilities in a fast-paced, team-oriented environment. Responsibilities
- Manage accounts payable, including entering vendor bills and processing payments
- Manage accounts receivable by posting customer payments and monitoring outstanding balances
- Prepare, review, and send customer invoices accurately and on time
- Reconcile bank and credit card accounts
- Maintain accurate financial records using QuickBooks online
- Follow-up on past due invoices and communciate professionally with customers regarding payments
- Answer incoming phone calls and direct inquiries appropriately
- Respond to customer emails promptly and profesionally
- Assist to customer emails promptly and professionally
- Assist customers with billing questions and account inquiries
- Communicate with vendors regarding invoices, purchase orders, and payments
- Organize and maintain digital financial records and office documents
- Assist with month-end bookkeeping and reporting
- Assist with budgeting processes and financial analysis to support organizational planning and decision-making
- Support general office operations and administrative tasks as needed
- Work closely with the management team to ensure smooth day-to-day business operations
- Coordinate with the service and sales teams to ensure customer invoices, work orders, and payments are processed accurately

Experience:
- Bookkeeping: 3 years (Required)
- QuickBooks Online: 2 years (Required)
- Microsoft Excel: 2 years (Preferred)
