The Assistant Property Manager assists the Property Manager with day-to-day management of the assigned property/properties.
Supervisory Responsibilities:
- May direct the work of employees in lower job classifications.
- May assist in training newly hired employees.
Duties/Responsibilities:
- Coordinate all incoming tenant requests;
- Deliver a high level of customer service;
- Routinely visit the tenants when it is convenient for them, showing up in person to follow up on work tickets and other issues, and being physically present when there is an emergency or difficult situation.;
- Conduct routine inspections and site visits to ensure our properties are maintained to a high standard;
- Set up new vendors and process invoices for payment;
- Administer tenant invoicing and rent collection procedures;
- Maintain certificate of insurance for all vendors and tenants;
- Utilize a tenant request and preventative maintenance work order system to administrate day-to-day property operations;
- Assist team in coordinating and managing vendor/contractor services;
- Help plan and organize tenant appreciation events;
- Keep an eye on office supplies and order them when needed;
- Answer phones and perform general administrative tasks;
- Monitor aged receivable report and contact tenants as necessary for collections;
- Participate in monthly leasing calls and maintain tenant lease files;
- Assist Property Manager with budget preparation;
- Complete monthly accruals, reclasses and variance reports;
- Maintain property, vendor and tenant databases;
- Manage major construction projects including tenant fit-outs. This require regular site visits;
- Assist with uniform maintenance and timecards;
- Administer card access systems and parking operations;
- Understand standard work specifications for basic building services;
- Assist with office tours, move-ins, and move-outs;
- Assist the Property Manager with reviewing, analyzing, and reporting on the financial and operational performance of the properties and participating in meetings with senior management regarding the same;
- Assist with emergency and evacuation procedures;
- Comply with all company policies and procedures.
Required Skills/Abilities:
- Ability to present information in a professional, clear and concise manner, both written and verbally.
- Demonstrate the ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate courses of action.
- Strong communication and problem-solving skills.
- Teamwork oriented.
- Organized, works well independently, and has excellent time management skills
- High proficiency in MS Word and Excel.
- Strong computer skills including email and ability to learn property management software.
- Proficient in Yardi, Payscan, Angus MRI, and Kardin a plus.
- Valid driver’s license.
Education and Experience:
- Bachelor’s degree required; concentration in related field preferred.
- At least one year of commercial real estate experience.
- At least two years of property management or property accounting experience.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Traveling to and walking the property/properties.
