Job Summary
The Maintenance Superintendent is responsible for regular and ongoing maintenance of assigned building(s), equipment and grounds, in addition to protecting and overseeing the physical safety of the building and all people therein. First and foremost responsibility of the Maintenance Superintendent is to complete apartment turnovers in a safe and time-efficient manner as to maximize occupancy of the building. Additional specific tasks and responsibilities will vary based on each property and at different times of the year. The Maintenance Superintendent will also be included as part of a rotating weekend on-call schedule for the site (which generally includes the Community Manager, Maintenance Superintendent and Live-in Maintenance Technician), as scheduled and communicated by the Community Manager in advance.
Responsibilities: The Maintenance Superintendent responsibilities include the following:
- Attend to and complete all apartment turnovers in a time-efficient manner. Assess apartment condition as part of any recertifications, regular inspections and/or following move-out, as appropriate, so that additional projects associated with the apartment based on its condition can be assessed and time for turnover can be estimated. Maintain regular supplies typically used in apartment turnovers (e.g., paint, etc.,), so that supply chain issues do not delay turnovers. Communicate regularly with the Community Manager about turnovers, including prioritization when there are multiple units that require turnover at the same time.
- Maintain, repair and improve the building by accurately and promptly completing work orders, following regular maintenance schedules, investigating and researching solutions to problems, and by being proactive versus reactive (i.e., performing regular inspections of the entire property).
- Provide regular cleaning to all parts of the property, including community areas, entrances, restrooms and any outside facilities. Establish routine cleaning schedules, which include floor care, general cleaning, trash removal, dusting and vacuuming, and sanitization. Please note that you may be authorized to utilize an outside vendor or Live-in Maintenance technician to perform some or all of these duties as pre-approved by the Community Manager.
- Protect and oversee the physical safety of the building and all persons associated therewith by:
- Respond to emergency situations immediately and appropriately, including personal, medical, and maintenance emergencies. This responsibility shall also apply when on-call.
- Serve as part of a rotating weekend on-call schedule, as scheduled by the Community Manager. When on call, will be considered on-duty from Friday at 4:00 p.m. through Monday at 7:00 a.m. (as adjusted, as needed, at specific properties) and shall be within 30 minutes of the property if not going to be onsite at any time during the scheduled on-call shift.
- Certain aspects of the Maintenance Superintendent’s job require use of certain technologies, applications and systems in order to document inspections, work orders and maintenance at each site. As such, Maintenance Superintendents are to use such technologies, applications and systems provided by the organization for such purposes. If needed, the organization will provide additional training to establish employee competencies in utilizing the technology.
- Effectively utilize certain skills, which may be different for each Maintenance Superintendent, including electrical, plumbing, carpentry, painting, building and equipment repair and grounds care, sidewalk and driveway maintenance, and snow removal. Discuss additional skills with Community Manager so that they may be utilized to assist with timeliness and to reduce building expenditures, as appropriate. Please note that employee safety is the organization’s top priority; as such, the organization does not want any employee doing something they do not have the skills, experience or appropriate equipment to complete in a safe manner.
- Establish relationships and effectively communicate with Vendors for timely and efficient completion or projects and other maintenance.
- Appropriately manage documentation of all maintenance and safety tasks by utilizing electronic and written service forms, logs, work orders, etc.
Additional Skills and Qualifications:
-Related experience as a Maintenance Superintendent or other related position and/or previous work with the resident demographics
-Good written and oral communication skills; ability to read and comprehend written instructions and/or manuals
-Basic-to-advanced knowledge and ability, with or without accommodation, to perform cleaning and building maintenance tasks
-Basic-to-advanced knowledge of light plumbing, electrical and HVAC
-Valid NYS Driver’s License and access to and willingness to use own vehicle during working and on-call hours for work-related travel.
-Independent work ethic and ability to work without close supervision
-Patience and compassion for older persons and those with mobility impairments
-Attention to detail
-Experience in emergency situations; ability to read emergency panels
-Calm, pleasant demeanor
