We are looking for a competent Administrative Assistant/ Volunteer Coordinator to execute administrative operations as well as recruit and manage volunteers for a children's advocacy center. The Administrative Assistant/Volunteer Coordinator is responsible for supporting the multidisciplinary team approach to the investigation of child abuse, which is core to the mission of Safe Passage. The position supports this effort in a variety of ways. These include coordinating the volunteer program, supporting and assisting child victims, and executing the administrative function of the agency.
Requirements:
- Bachelor's degree preferred or a minimum of 3 years of relevant professional experience.
- Highly motivated and self-directed; excellent organizational skills with attention to detail and ability to handle multiple responsibilities effectively and with discretion.
- Independent yet also able to function as a team player with initiative and flexibility.
- Excellent verbal and written communication skills.
- Strong clerical and computer skills.
- Reliable and punctual; able to work 7:45am to 5pm in person, Monday through Friday.
- Willing and able to participate in a required on-call rotation, including late-night after-hours coverage.
- Able to pass a background check.
Responsibilities:
- This position serves as the receptionist for multiple partner agencies, therefore the ability to coordinate across multiple teams is a key responsibility.
- Provide support to children and their families, including greeting families and explaining the role of the children's advocacy center in the process of investigations. Support and engagement with caregivers and youth in the lobby is also a focus. This can include long periods of interaction with people. Additionally, at times, due to the nature of the services provided at Safe Passage, children and caregivers may be outwardly upset.
- Supervising the playroom when the child advocate is unavailable (someone else will cover watching the front desk).
- Maintain a clean, healthy and safe lobby environment.
- Maintain inventory of supplies, including children's snacks, kitchen supplies, interview supplies and forms, and office supplies.
- Coordinate with other Safe Passage staff and team partners while administering the Volunteer Program to include recruiting, screening, training, retaining and supervising volunteers and interns.
- As part of the Volunteer Program, coordinating with university professors to find eligible interns, evaluate their progress, and meet class requirements.
- Execute a variety of clerical duties: Answer phones and front door, sort and route mail, provide clerical support for the Safe Passage team, receive donations plus other duties as assigned.
- Support Safe Passage Board of Directors Resource Development Committee and Safe Passage Director of Development with special events and fundraising activities.
- Execute other duties as assigned by Executive Director or Program Assistant.
Skills:
- Proven experience in similar position
- Experience in volunteering locally and/or internationally
- Experience in recruiting through various channels
- Working knowledge of databases and MS Office (especially Excel)
- Able to communicate effectively with diverse people
- Excellent organizational and team coordination abilities
- Excellent administrative abilities
- A pleasant, outgoing personality
- BS/BA in business administration, human resources, social studies or relevant field will be appreciated
- Experience working in a medical front office will be appreciated
Physical Demands:
- Must be able to remain in a stationary position 50%
- The person in this position needs to occasionally move about inside the office to perform job function.
- Constantly operates a computer or other office machinery such as copy machine
- Ability to ascend/descend stairs
- Frequently required to lift more than 25 pounds
- Maintains a valid drivers license
