We are seeking an organized, detail-oriented Operations Assistant Coordinator to support our daily construction operations. This position plays a key role in ensuring projects are properly documented, crews are scheduled efficiently, payroll is accurate, and project paperwork is completed on time.
Position Summary
The Operations Assistant Coordinator supports the Operations team by assisting with payroll review, project documentation, scheduling, dispatch, and administrative functions that keep projects running efficiently from startup through completion.
This position is ideal for someone who enjoys working in a fast-paced construction environment, is highly organized, and takes pride in accuracy and communication.
Primary ResponsibilitiesPayroll & Timekeeping
- Review employee timesheets for accuracy prior to payroll processing.
- Verify hours worked with field supervisors and foremen.
- Identify discrepancies and coordinate corrections with Operations.
Project Documentation
- Prepare, organize, and track project submittals.
- Coordinate warranty documentation and closeout packages.
- Maintain organized electronic and paper project files.
Prevailing Wage Compliance
- Review DAS 140 and DAS 142 forms for completeness and accuracy.
- Assist with compliance documentation for public works projects.
- Coordinate required paperwork with project management and accounting teams.
Scheduling & Dispatch
- Assist with scheduling field crews and daily dispatch activities.
- Coordinate communication between the office and field personnel.
- Update project schedules and assist with crew assignments.
Operations Support
- Support Project Managers with day-to-day administrative tasks.
- Maintain contracts, project records, change orders, and correspondence.
- Assist with material tracking and project logistics.
- Respond to internal and external requests in a timely and professional manner.
Qualifications
- 2–5 years of experience supporting construction operations, project coordination, construction administration, or a related role.
- Experience reviewing payroll or employee timesheets.
- Familiarity with project submittals and warranty documentation.
- Knowledge of California prevailing wage documentation, including DAS 140 and DAS 142 forms, is highly preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and customer service skills.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with Procore, Bluebeam, Sage, or other construction management software is a plus.
- Bilingual (English/Spanish) is preferred but not required.
