Pro Waste Services Inc., located in Erie, PA, is seeking a full-time Fleet Parts and Warranty Specialist to assist our Fleet Management team. This is a newly created position that will support parts procurement, vendor coordination, warranty tracking, inventory maintenance, and fleet reporting across Pro Waste’s Northwestern Pennsylvania locations.
The ideal candidate will be organized, dependable, comfortable working with vendors and mechanics, and able to manage multiple priorities in a fast-paced fleet environment.
Responsibilities
Responsibilities may include, but are not limited to:
- Procure, order, receive, and track fleet parts for multiple Pro Waste locations in Northwestern Pennsylvania
- Build and maintain working relationships with key parts vendors
- Establish and maintain relationships with Pro Waste mechanics, shop personnel, fleet management, and other internal team members
- Work with vendors to obtain pricing, availability, delivery timelines, and order status updates
- Assist with sourcing parts, tires, supplies, and other fleet-related items as needed
- Maintain accurate parts and tire inventory using the company’s fleet software system
- Help ensure parts are properly received, recorded, stored, and issued
- Monitor inventory levels and assist with identifying frequently used parts, reorder needs, and potential stock shortages
- Pursue, track, and follow up on warranty claims with applicable vendors and manufacturers
- Maintain organized warranty records, claim status updates, credits, and supporting documentation
- Assist with scheduling third-party vendor repairs and coordinating service needs
- Gather, organize, and submit vendor invoices and supporting documentation to Accounts Payable
- Help ensure invoices are matched to parts orders, repair work, receipts, or other backup when applicable
- Track diesel fuel usage, vehicle mileage, and related fleet information for reporting purposes
- Maintain accurate records for fleet reporting, cost tracking, and internal review
- Work closely with the financial team to provide accurate and timely inventory, fuel, parts, and vendor information
- Assist Fleet Management with additional administrative, operational, and reporting tasks as needed
Qualifications
- Prior experience in procurement, parts ordering, inventory control, fleet operations, trucking, automotive, heavy equipment, or a related field preferred
- Prior experience in the fleet, trucking, waste, construction, logistics, automotive, or heavy equipment industry is a plus
- Strong organizational skills and attention to detail
- Strong communication skills and ability to work with vendors, mechanics, management, and office staff
- Ability to multitask and follow up on open items, orders, warranties, invoices, and vendor questions
- Comfortable working in a fast-paced environment with changing priorities
- Proficiency with Microsoft Office programs, including Outlook and Excel
- Experience with fleet management software, inventory software, or parts systems is a plus
- Ability to maintain accurate records and follow established processes
- Dependable, professional, and able to work independently and as part of a team
Preferred Experience
- Parts procurement or purchasing experience
- Fleet parts, diesel truck parts, automotive parts, or heavy equipment parts experience
- Warranty claim tracking or vendor credit follow-up experience
- Inventory control experience
- Experience working with mechanics, repair shops, dealerships, or parts vendors
- Experience tracking fuel usage, mileage, parts costs, or fleet-related records
- Experience reviewing invoices, receipts, packing slips, or purchase documentation
Schedule
- Full-time
- Monday through Friday
- Anticipated hours: 8:00 AM to 4:30 PM

About the Role
This position plays an important role in supporting Pro Waste’s fleet operations by helping ensure parts, tires, repairs, warranties, invoices, and fleet records are tracked accurately and efficiently. The Fleet Parts and Warranty Specialist will work closely with Fleet Management, mechanics, vendors, and the financial team to help keep fleet operations organized and moving.
This is a good fit for someone who is detail-oriented, comfortable following up with vendors, and able to keep orders, inventory, warranty claims, and records organized from start to finish.
