Job Overview
We are seeking a highly organized and proactive Practice Administrator to oversee the daily operations of our healthcare or professional practice. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a passion for delivering exceptional client and patient service. As a Practice Administrator, you will coordinate office functions, manage staff, and ensure smooth workflow to support the overall success of the practice. Responsibilities
- Manage front desk operations, including greeting clients or patients, scheduling appointments, and handling inquiries with professionalism and courtesy.
- Maintain accurate records through data entry, filing, and updating patient or client information using spreadsheets and database management tools.
- Oversee office management tasks such as supply ordering, inventory control, and ensuring the office environment is organized and efficient.
- Utilize productivity software including Microsoft Office and Google Workspace to prepare reports, correspondence, and documentation.
- Coordinate calendar management for practitioners or team members, ensuring appointments are scheduled effectively and conflicts are minimized.
- Handle billing and bookkeeping responsibilities using QuickBooks or similar accounting software to ensure accurate financial records.
- Provide exceptional customer service by addressing client needs promptly via phone or in person while maintaining high standards of phone etiquette and professionalism.
- Support administrative functions such as proofreading documents, managing multi-line phone systems, and assisting with technical troubleshooting when needed.
- Must have EMR knowledge.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications for document creation and communication.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Excellent communication skills both verbal and written; bilingual abilities are highly desirable to serve diverse client populations.
- Experience with office management systems including multi-line phone systems and scheduling software.
- Knowledge of bookkeeping practices using QuickBooks or similar financial software.
- Demonstrated clerical experience with data entry, filing, proofreading, and document management.
- Ability to handle customer support situations professionally while maintaining confidentiality and discretion.
- Technical proficiency with general office equipment such as printers, scanners, and computers; familiarity with medical receptionist duties is a plus.
- Strong time management skills coupled with the ability to multitask effectively across various administrative responsibilities.
- Bachelor's degree and 3 years experience as the leader of a medical organization or private practice**
