Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently to the appropriate personnel
- Handle front desk duties including check-in procedures, visitor badges, and maintaining a tidy reception area
- Perform clerical tasks such as data entry, filing, proofreading, and word processing using Microsoft Office and Google Workspace tools
- Support office management activities like calendar management, appointment scheduling, and basic bookkeeping with QuickBooks or similar software
- Assist with client communication by providing information, answering inquiries, and supporting customer service efforts
- Maintain organized records of incoming correspondence, appointments, and office supplies to ensure smooth daily operations
Requirements
- Bilingual proficiency is highly preferred to effectively communicate with diverse clients and visitors
- Demonstrated experience in office management or administrative support roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and general computer literacy
- Prior experience in front desk operations or customer service roles with excellent phone reception skills and phone etiquette
- Strong typing speed, data entry accuracy, and attention to detail for proofreading and document management
- Knowledge of office equipment such as multi-line phone systems, fax machines, and basic bookkeeping tools like QuickBooks
- Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Personal assistant or administrative experience that includes calendar management and client communication is a plus
