Job Summary
The Housing Specialist position performs routine administrative and clerical activities to support the Housing Manager.
What You'll Do
1. Schedules and performs interim and annual resident re-certification appointments.
2. Answers telephone, greets residents and visitors to the office; takes messages and answers basic inquiries. Responds to resident requests for repairs, extermination, and other maintenance services; records requests on the computer; prepares and distributes work orders; refer serious or suspicious situations to the Housing Manager for investigation. Coordinates regular and special extermination services scheduled between maintenance personnel and residents.
3. Prepares and distributes resident bills for chargeable maintenance work or billable materials and notifies Accounting Department of account adjustments.
4. Prepares lease with related documents.
5. Performs rent calculations for annual and interim recertifications. Completes rent calculation for new lease signings and transfers. Updates information in PHA-Web and notifies residents of rent amount.
6. Maintains resident files and current resident listing; tracks late rent payments and notification letters.
7. Assists with lockouts, keys, and letters to residents. Assists residents with rent rebate and welfare form submissions. Ensures compliance with Authority policies.
8. Receives and processes resident rent payments deposited in drop boxes or mailed to the main office. Adds check receipts and completes rent tally.
9. Responsible for making safe, fair, and sound decisions in the absence of the Housing Manager. Assists with supervision and training of part-time and seasonal help. Maintains a cooperative working relationship with other outside agencies. Gives support to residents' organization.
10. Performs additional duties and tasks as requested.
What You'll Bring:
- High School Diploma or equivalent (G.E.D.)
- 2-4 years of related experience is helpful
- Proven ability to communicate effectively
- Prior customer service experience is a plus
- Background in property management or crisis management will be considered an asset.
- Bilingual preferred
Working Conditions/Physical Requirements (with or without reasonable accommodation):

- Moves intermittently during working hours and subject to frequent interruptions.
- Must function independently and in a team setting; have flexibility, personal integrity, and the ability to work effectively with residents, support agencies, and move intermittently throughout the workday.

- Ability to deal with a variety of people and unusual situations.
- While performing duties of this job, the employee is regularly required to talk or hear.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
