JOB
The Administrative Assistant shall perform duties including, but not limited to, review assigned complaints for case files and analyze how best to deal with the complaint, enter all notes into the database and prepare concise and factual summaries. Position conducts preliminary research and coordination with other departments such as the Occupational Safety and Health Division (OSH) and the Wage & Hour Bureau to determine if any other complaints have been filed. Administrative Assistant II coordinates with other State and federal agencies such as the Employment Security Commission, the Industrial Commission, the Secretary of State and the Equal Employment Opportunity Commission to obtain pertinent information pertaining to the complaint. Position reviews pertinent data bases to determine if other investigations have been conducted by EDB regarding the same employer or filed by the same complainant. This position handles all office inventories. Position serves as information officer and is the "front line" contact within the department in dealing with the public, employees, employers or employer representatives, other state and federal agencies and other department agencies by phone.

The successful applicant must be capable of analyzing data pertinent to the complaint and sort facts in order to get to the relevant facts as quickly as possible. The employee must have the ability to articulate comprehensive information on matters of a complex nature, prepare concise and factual written reports with minimal error. Position requires a great deal of multi-tasking along with attention to detail.
Candidate must have the ability to analyze and communicate both orally and in writing, and the ability to work independently as well as in a team environment. Applicant must be able to communicate professionally and effectively with a variety of callers, including the public, employees, employers or employer representatives, other state and federal agencies and other department agencies.
The person in this position must have the ability to deal frequently with a wide range of social and economic diverse group of people. The ability to interpret and apply the Retaliatory Employment Discrimination Act we enforce to various situations in a prudent, consistent manner and while using sound decision techniques is a must.
The Administrative Assistant II must be competent with a Windows based computer and be proficient in the use of the both computers and the EDB Database.
SUPPLEMENTAL INFORMATION
Management prefers candidate with some post-secondary education. Individual must have at least two years of work experience in a customer service environment that includes programmatic responsibilities. Experience with Mail-merge, Word and Excel programs is preferred.
Preference will be given to applicants with a working knowledge of the Retaliatory Employment Discrimination Act. Management prefers candidate who is fluent in Spanish.
