Reports To: Business Administrator
Environment: Welcoming, collaborative, business casual
About the Role
The Community Church of Durham is seeking an organized, highly intuitive, and deeply caring Office Administrator. As the central hub of our church community, you will do much more than manage paperwork - you will set the tone for everyone who walks through our doors.
We are looking for a unique individual who pairs exceptional structural organization with a warm, friendly personality and high emotional intelligence. This role requires the ability to stay focused and productive despite frequent interruptions, as you balance desk work with welcoming visitors. This position is perfect for a self-motivated individual who loves keeping our shared spaces organized and naturally finds meaningful ways to support the team during quieter moments.
What You Will Do
- Office & Logistics Coordination: Maintain the church database, monitor and order worship/office supplies, coordinate helpful volunteers for weekly tasks, and act as the liaison for our parking rental management company.
- Masterful Scheduling: Maintain the master calendar for all church rooms, committees, and special services (baptisms, weddings, memorials). Manage fee-based room rentals for outside groups.
- Vibrant Communications: Keep our community connected by designing and distributing weekly bulletins, monthly newsletters, regular email offerings, website updates, and social media content.
- Hospitality, Discretion & Safety: Act as the welcoming face and voice of the church. Help visitors and members feel safe, heard, and valued. Hold strict professional boundaries by offering empathetic listening without overstepping into confidential pastoral matters.
- Dynamic Workflow Management: Seamlessly pivot between focused tasks (like newsletter creation or database entry) and immediate front-desk needs, maintaining your composure and accuracy despite daily interruptions.
- Workspace Management: Keep the front desk and main church office area tidy, welcoming, and organized to ensure a professional, clean, and calm first impression for all visitors.
- Proactive Contribution: Independently recognize and tackle back-burner administrative projects, digital filing updates, or organizational tasks during quiet office hours.
Physical Requirements
- Stationary Position: Ability to remain in a seated or stationary position for extended periods of time while working at a computer desk.
- Room Setup Assistance: Ability to physically assist with light room setups or breakdowns when necessary, which may include moving or unfolding tables and chairs.
What We Are Looking For
- The Right Personality: You are naturally warm, approachable, and deeply caring. You possess strong situational awareness, and a high degree of discretion.
- Technical Savvy: Proficiency with (or a strong ability to quickly learn) database management, email marketing tools, website updates, and social media platforms.
- Top-Tier Organizational Skills: You thrive on order. You keep a clean desk, manage multiple schedules, track rental payments, and handle shifting priorities without dropping the ball.
- Adaptability & Focus: You possess excellent time-management skills and self-direction. You can stop a task to assist a person in need, and then easily pick up right where you left off without getting flustered.
Compensation & Benefits
- Salary: Competitive hourly rate, outlined in the initial Employment Agreement and reviewed annually. $25.64/hour minimum. $24,000-$26,000 salary range
- Accrued Time Off (After 3 Months): Eligible to earn vacation and sick time.
Pay: $25.00 - $27.00 per hour
Benefits:
