Position Summary
The HR Administrator provides administrative and operational support to the Human Resources function and serves as a resource for employees and managers on routine HR matters. This position supports employee records, onboarding and offboarding, benefits administration, HR systems, compliance, reporting, and other day-to-day HR activities.
The ideal candidate is highly organized, detail-oriented, responsive, and able to handle confidential information with professionalism and discretion. This role requires strong follow-through, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
HR Administration & Employee Records
Maintain accurate and confidential employee records, personnel files, and HR documentation.
Process employee changes, including new hires, transfers, promotions, compensation changes, status changes, and terminations.
Enter and maintain employee information in the HRIS and other HR systems.
Prepare employment-related documents, correspondence, reports, and forms.
Respond to routine employee questions regarding HR policies, procedures, benefits, and programs, escalating more complex matters as appropriate.
Assist with employment verification and other employee documentation requests.
Onboarding, Offboarding & Recruitment
Coordinate the administrative aspects of the new-hire onboarding process.
Prepare and distribute new-hire paperwork and ensure required documentation is completed accurately and timely.
Coordinate with IT, hiring managers, and other departments to support a smooth onboarding experience.
Verify completion of required employment documentation, including Form I-9 requirements.
Coordinate offboarding activities, including termination documentation, system notifications, benefits information, and company property processes.
Maintain onboarding and offboarding checklists and records.
Coordinate recruitment activities for assigned positions from job opening through offer and pre-employment.
Partner with hiring managers to understand staffing needs, position requirements, and desired candidate qualifications.
Prepare and post job openings on appropriate job boards, career sites, and other recruiting channels.
HRIS, Reporting & Data Management
Maintain accurate employee data within the HRIS and related systems.
Conduct routine audits of employee records and HR data to ensure accuracy and completeness.
Assist with maintaining organizational charts, employee directories, and other HR resources.
General HR Support
Provide administrative support for employee relations, performance management, compensation, training, and other HR initiatives.
Assist with employee communications, meetings, events, and engagement activities.
Track HR deadlines and follow up with employees and managers regarding outstanding documentation or required actions.
Identify opportunities to improve administrative processes and increase efficiency.
Support special HR projects and initiatives assigned.
Perform other duties necessary to support the Human Resources function and organization.
Qualifications
Education & Experience
High school diploma or equivalent required; associate's or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
1 year of administrative experience, preferably within Human Resources.
