We are seeking an experienced Property Manager to lead the day-to-day operations of a residential community within the company's management portfolio. Reporting directly to the Regional Manager, this role owns all aspects of property management — including leasing, maintenance coordination, financial management, administration, and regulatory compliance.
The ideal candidate is a hands-on leader who drives operational excellence, inspires the on-site team, enhances resident satisfaction, and ensures adherence to company standards and applicable laws. Success in this role requires strong financial acumen, a collaborative management style, and deep knowledge of residential property operations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Team Leadership & Staff Management
- Hire, train, and guide on-site office and maintenance staff while fostering individual growth and development.
- Maintain a positive, collaborative work environment through clear communication, consistent coaching, and accountability.
- Organize and manage daily activities for both office and maintenance teams to ensure operational flow.
- Address performance concerns promptly and maintain thorough documentation in partnership with Human Resources.
- Ensure full team compliance with company policies, procedures, and operational standards.
- Conduct regular one-on-ones and team meetings to align staff on priorities and community goals.
Financial Oversight
- Optimize property profitability through effective cost management and revenue growth strategies.
- Prepare and manage annual budgets, forecasts, and variance reports in collaboration with the Regional Manager.
- Oversee rent collection, vendor payments, purchase orders, and monthly reconciliations.
- Ensure accuracy and timeliness of monthly financial closeouts and ledger reviews.
- Monitor delinquency and take appropriate and timely action in accordance with company policy.
- Review and approve invoices within authorized spending thresholds.
Leasing & Resident Experience
- Develop and execute marketing strategies to maintain strong occupancy levels and minimize vacancy loss.
- Supervise leasing activities to ensure compliance with Fair Housing laws, best practices, and documentation standards.
- Respond to resident inquiries and concerns in a professional, timely manner to promote satisfaction and retention.
- Coordinate resident engagement programs, renewal campaigns, and community communications.
- Monitor online reputation and ensure timely, professional responses to reviews and feedback.
- Maintain accurate and up-to-date lease files and resident records in property management software.
Operations & Maintenance
- Oversee timely completion of all administrative tasks, reports, compliance filings, and leasing documentation.
- Lead emergency preparedness planning and ensure team readiness for after-hours and crisis situations.
- Manage maintenance operations, including service request oversight, unit turnover timelines, and staff performance.
- Conduct regular property inspections to maintain safety, curb appeal, and overall property quality.
- Coordinate with vendors and contractors, secure competitive bids, and monitor work for quality and cost efficiency.
- Manage preventive maintenance schedules to protect asset value and reduce deferred maintenance.
- Ensure all work is completed in accordance with OSHA regulations and company safety standards.
Compliance & Administration
- Ensure full compliance with applicable federal, state, and local housing laws, including Fair Housing regulations.
- Maintain accurate records for all lease activity, incidents, inspections, and resident communications.
- Stay current with local rental market trends, competitive properties, and regulatory changes.
- Prepare and submit required reports to the Regional Manager on a timely and accurate basis.
QUALIFICATIONS & REQUIREMENTS
- High school diploma or equivalent required; Bachelor's degree in Business, Real Estate, or related field preferred.
- Minimum 2–4 years of property management or related residential housing industry experience.
- Certifications such as CAM (Certified Apartment Manager) or ARM (Accredited Residential Manager) are highly desirable.
- Proficiency in property management software (e.g., Yardi, RealPage, AppFolio) and Microsoft Office Suite.
- In-depth knowledge of Fair Housing laws, OSHA regulations, landlord-tenant law, and other applicable guidelines.
- Strong leadership, communication, and conflict-resolution skills.
- Reliable transportation and ability to respond to after-hours and emergency situations as needed.
- Physical ability to conduct property inspections and lift up to 25 lbs unassisted.
TECHNICAL REQUIREMENTS
Must demonstrate proficiency in property management platforms, financial reporting tools, and leasing management systems. Working knowledge of building systems and maintenance operations is expected. Ability to analyze financial statements, variance reports, and occupancy data is essential.
