Ameriserve is seeking a detail-oriented Data Entry Specialist to support our Logistics Department. As a leading provider of commercial HVAC, refrigeration, and foodservice equipment repair and maintenance throughout the Southeast, we are committed to delivering exceptional service through accuracy, efficiency, and operational excellence.
The Data Entry Specialist plays a critical role in supporting our Logistics Coordinators and field operations by ensuring service information is entered accurately, customer records remain current, and work order documentation is completed in a timely manner. This position is ideal for someone who enjoys working behind the scenes, has exceptional attention to detail, and takes pride in maintaining accurate information that keeps business operations running smoothly.
Key Responsibilities
- Enter and maintain customer, technician, and work order information with a high level of accuracy.
- Review service tickets for completeness and ensure required documentation is properly recorded.
- Support Logistics Coordinators by updating job statuses, technician notes, scheduling information, and customer records.
- Process service requests received through customer and vendor portals.
- Verify labor hours, equipment information, purchase orders, and service documentation before final processing.
- Monitor data quality and identify discrepancies, missing information, or duplicate records.
- Communicate with dispatchers, technicians, billing personnel, and operations staff to obtain missing or corrected information.
- Maintain electronic filing systems and ensure all records comply with company standards.
- Assist with reporting, operational metrics, and administrative projects as assigned.
- Support multiple business divisions while maintaining accuracy and confidentiality.

- Experience using CRM, dispatch, ERP, or work order management systems is preferred.
- Experience working within customer and vendor service portals is highly desirable.
Minimum Requirements
- High school diploma or equivalent required; associate degree preferred.
- Proficiency with Microsoft Office Suite, including Excel and Outlook.
- Excellent keyboarding and data entry skills with a high degree of accuracy.
- Ability to maintain confidentiality and handle sensitive business information.
- Experience in a commercial service, HVAC, refrigeration, construction, or facilities management environment is a plus.
