The State of New Hampshire, Department of Safety, Division of Fire Standards and Training & EMS, Bureau of Certifications and Supports , has a full-time vacancy for an Academic and Administrative Unit Assistant (Program Assistant I) SOC Title 43-6010 ADMIN ASSTS-3. This position has a 37.5 hour work week and is considered non-exempt.
Summary:
Performs diverse duties by processing course applications, student records, and certification documentation, ensuring accuracy and compliance with prerequisites and completion requirements. Maintains and updates databases, issues certificates, and coordinates audits of data entry. Provides administrative and customer service support including office operations, document management, and communication with local fire and EMS leaders and students.
YOUR EXPERIENCE COUNTS: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.
MINIMUM QUALIFICATIONS :
Education/Experience: Equivalent combination of 3 years of education and experience after completion of high school.
License/Certification: Valid driver’s license
Other Requirements: Selected candidate will undergo a fingerprint based criminal background check and motor vehicle record check in order to ensure suitability for exposure to confidential information.
Trainee Option: Candidates with an equivalent combination of 2+ years of relevant education and experience after completion of high school may be considered and hired in ‘trainee status’ for this position.

The work of an employee in trainee status in this position shall be overseen by a fully qualified individual. An employee in trainee status shall meet the minimum qualifications within the period of time specified on the SJD, not to exceed one year of being hired into this position.
Responsibilities:
Processes all applications for courses, to include checking them for completeness and for prerequisites, if applicable.
Reviews, verifies, and processes course completion documentation and student records to determine eligibility for examinations, additional agency programs and certifications.
Retrieves and updates information and maintains a variety of documents on program participants in a computerized database or other tracking system to assure accurate processing of courses and certifications issued.
Inputs course, student and EMS provider data into computerized database. Issues documentary evidence of certification to students as well as their affiliated fire and emergency services departments.
Coordinates with other support staff to audit data entry of certificates or approvals for practical exams, licenses or course completion documents.
Performs clerical support such as answering the telephone, covering reception, mailings, typing, assisting with scanning projects, creating manuals, filing, etc. for the Division.
Maintains and updates the Division’s websites with information that is supplied, such as class advertisements and online registrations.
Compiles and creates accounts receivable documents that correspond with training programs so departments and students are billed accurately.
