We are looking for a Front Desk Coordinator who is not only organized and professional, but also understands their impact on client retention, experience, and revenue growth. This role goes beyond traditional front desk duties—it is a key player in shaping the client journey from first impression to long-term loyalty.
Role Overview
The Front Desk Coordinator is responsible for delivering a seamless, elevated client experience while supporting daily operations and contributing to business growth. This role plays a direct part in client retention, prebooking, and retail success by building relationships, educating clients, and ensuring every visit is intentional and personalized.
Key Responsibilities
Client Experience & Retention
- Create a warm, polished, and welcoming environment for every client
- Build relationships with clients to foster loyalty and long-term retention
- Ensure every client leaves with a prebooked appointment and applicable print material
- Support estheticians in delivering a seamless and elevated client journey
- Proactively resolve client concerns with professionalism and care
Sales & Business Growth
- Educate clients on services and homecare products with confidence
- Recommend and reinforce services, service add-ons and home care routines
- Actively contribute to front desk goals including prebooking, retention, and retail sales
- Identify opportunities to enhance each client’s visit through thoughtful upselling
Front Desk Operations
- Manage check-in/check-out process efficiently and accurately
- Schedule appointments strategically to support business flow and productivity
- Uphold cancellation and no-show policies with confidence and consistency
- Respond to client communication across phone, email, and social platforms in a timely, professional manner
Spa Operations & Team Support
- Maintain cleanliness and organization of the spa (laundry, restocking, daily cleaning)
- Open and close the spa following standard procedures
- Collaborate with estheticians and leadership to ensure smooth daily operations
- Support team goals and contribute to a positive, high-performance culture
Qualifications
- Previous customer service experience required (spa/salon experience preferred)
- Strong communication and interpersonal skills
- Confident in recommending services and products
- Detail-oriented, organized, and proactive
- Positive, polished, and professional demeanor
- Flexible schedule, including evenings and weekends
- Ability to work at both Geneva and Glen Ellyn locations
