We are seeking a highly organized and dependable Careered Administrative Assistant/Office Manager with at least 5 years of administrative experience. Applicant must be comfortable managing multiple priorities in a fast-paced setting. This position provides a broad range of administrative and organizational support for management and field operations This full-time role is an excellent fit for someone who likes consistency in their workload, and stability from their employer.
Preference will be given to applicants with a consistent work history and proven ability to remain and grow within an organization.
Required Skills and Qualifications:
- The ideal candidate will have held positions for multiple years within the same company, showing reliability and job commitment.
- MUST HAVE at least 5 years of experience in administrative support or office manager capacity.
- Proficient utilizing Microsoft Office programs (Outlook, Excel, Word,)
- High school diploma or equivalent, some college course work and/or degree is preferred, but not required
- Proven ability to perform in a dynamic, fast-paced environment
- Sustain a level of professionalism among staff and clientele
- Construction industry background preferred, but not required
- Excellent organizational skills
- Knowledge of office policies, practices, and procedures
- Dedicated, self-motivated individual with the ability to work independently
- Knowledge of Quickbooks is a plus but not required
Administrative Responsibilities:
- Answering phones, directing inquiries, and responding to general info emails
- Typing, photocopying, filing, and other general office duties
- Work with the Project support team to bid and keep track of new work. This includes creating proposals, filling out bid forms, mailing bid documents, communicating with insurance/bonding company, and any other ancillary tasks.
- Facilitate onboarding for new hires, including paperwork and timekeeping
- Ordering supplies, maintaining office equipment, and ensuring a clean and organized workspace
- Maintaining accurate records of project information, contracts, and correspondence.
- Work with accounting for monthly billing process
- Prepare contractor agreements and Certificates of Insurance (COIs)
- Uphold a strict level of confidentiality
- Notarize documents as requested.
