We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and streamline daily operations. Duties
- Manage and coordinate detailed calendars using tools like Microsoft Outlook Calendar and Google Workspace, ensuring all appointments, meetings, and events are scheduled accurately.
- Provide comprehensive executive administrative support, including drafting correspondence, preparing reports, and handling confidential information with discretion.
- Organize and plan events, meetings, and travel arrangements to ensure seamless execution of all logistics.
- Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while screening calls and taking accurate messages.
- Perform data entry, filing, and document proofreading to maintain precise records and ensure high-quality communication.
- Assist with bookkeeping tasks using QuickBooks and perform basic office management duties such as supply ordering and maintaining office supplies inventory.
- Support project coordination efforts by tracking deadlines, preparing materials, and liaising with team members to meet objectives efficiently.
- Conduct transcription of meetings or notes as needed, ensuring clarity and accuracy for record-keeping purposes.
- Manage front desk responsibilities including greeting visitors, answering inquiries, and maintaining a welcoming office environment.
Skills
- Proven experience as a Personal Assistant or in an administrative role with strong office management skills.
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and Microsoft Outlook Calendar.
- Excellent typing speed combined with strong proofreading and transcription abilities to produce error-free documents swiftly.
- Familiarity with bookkeeping software like QuickBooks and experience handling basic bookkeeping tasks such as invoicing and expense tracking.
- Strong project coordination skills to manage multiple priorities simultaneously while meeting deadlines.
- Outstanding communication skills with professional phone etiquette across multi-line phone systems.
- Knowledge of office procedures including filing systems, data entry, clerical tasks, and front desk operations.
- Ability to adapt quickly to new technologies such as DocuSign for electronic signatures or other digital tools used in document management.
