Clear Reflection Counseling Associates is a growing behavioral health practice dedicated to helping children, adolescents, adults, and families thrive. Our Adolescent Intensive Outpatient Program (IOP) provides compassionate, evidence-based care for teens experiencing anxiety, depression, emotional dysregulation, school avoidance, family conflict, trauma, and other behavioral health challenges.

Position Summary
The Community Outreach & Admissions Coordinator serves as the primary ambassador for our Adolescent Intensive Outpatient Program. This role combines relationship-building within the community with admissions coordination, ensuring that referral sources receive excellent communication and that families experience a smooth, supportive transition into treatment.

Primary Responsibilities
Community Outreach
- Develop and maintain relationships with schools, pediatricians, therapists, hospitals, community agencies, and other referral partners.
- Schedule and conduct regular outreach visits throughout southern New Hampshire.
- Represent Clear Reflection at networking events, community meetings, and educational presentations.
- Deliver referral materials and maintain ongoing communication with referral sources.
- Identify opportunities to expand community awareness of the Adolescent IOP.
Admissions Coordination
- Serve as the first point of contact for families interested in the IOP.
- Respond promptly to inquiries and provide compassionate guidance regarding program services.
- Verify insurance benefits and explain program logistics.
- Coordinate intake assessments and gather required documentation.
- Track referrals from initial inquiry through admission.
- Maintain consistent follow-up with prospective families and referral sources.
Program Support
- Welcome new families and assist with orientation to the program.
- Support communication between families, clinicians, and referral partners.
- Assist with census tracking, referral reporting, and admissions data.
- Help coordinate program materials and family resources.
Marketing & Administrative Support
- Assist with maintaining referral packets and outreach materials.
- Support social media and community awareness initiatives.
- Monitor website and phone inquiries.
- Maintain accurate referral and admissions records within practice systems.
Qualifications
Preferred qualifications include:
- Associate's or Bachelor's degree in Healthcare Administration, Communications, Psychology, Social Work, Marketing, Business, or a related field.
- Experience in customer service, healthcare, admissions, outreach, sales, or behavioral health preferred.
- Excellent interpersonal and communication skills.
- Strong organizational abilities with exceptional attention to detail.
- Ability to manage multiple priorities independently.
- Comfortable learning electronic health record and scheduling systems.
- Valid driver's license and reliable transportation for community outreach.
