Responsibilities:
- Answer and route incoming phone calls to the appropriate department or staff member.
- Schedule appointments and manage practitioner calendars to ensure efficient patient flow.
- Greet patients, provide necessary forms and paperwork, and assist with the check-in process.
- Verify patient demographic information and insurance coverage prior to appointments.
- Maintain, update, and organize patient records in accordance with company policies and procedures.
- Process incoming and outgoing mail, correspondence, and other office communications.
- Collect co-pays, outstanding balances, and process patient payments accurately.
- Prepare patient charts and documentation for upcoming appointments.
- Coordinate communication with referral sources, physicians, insurance companies, and other healthcare providers.
- Assist in maintaining compliance with HIPAA regulations and company policies regarding patient confidentiality and record management.
- Support the smooth day-to-day operation of the office by performing general administrative and clerical duties as needed.
Qualifications:
- High school diploma or equivalent required; Associate degree preferred.
- Previous experience in a medical office, healthcare setting, or patient-facing administrative role preferred.
- Experience with insurance verification, eligibility checks, and patient registration processes is a plus.
- Proficient in using computers, electronic health records (EHR/EMR), phone systems, and standard office equipment.
- Excellent verbal and written communication skills with a strong customer service focus.
- Strong organizational skills, attention to detail, and ability to maintain accurate records.
- Ability to manage multiple tasks, prioritize responsibilities, and work efficiently in a fast-paced environment.
- Knowledge of medical terminology, healthcare procedures, and insurance practices is preferred.
- Ability to handle confidential patient information and maintain HIPAA compliance.
- Demonstrated professionalism, reliability, and teamwork skills.
