Office Coordinator
Integrated Behavioral Health Management is seeking a highly organized, motivated, and experienced Office Coordinator to manage the daily operations of our busy clinic. This is a 3-days part time positon that requires a proactive individual with excellent communication and interpersonal skills, a strong attention to detail, and have some billing and coding experience. Fast learning individual eager to learn our electronic health records (EHR) and other computer system is essential.
Responsibilities:
- Oversee all aspects of daily front desk task, ensuring a smooth and efficient workflow.
- Manage incoming calls, including voicemail, email, and phone calls, ensuring timely and professional responses.
- Support administrative staff, participating in training activities.
- Schedule client appointments, collect necessary intake information, and accurately document the type of service required. Proactively remind new clients to bring required documentation (medication lists, insurance cards, medical records, recent hospital discharge forms).
- Conduct appointment reminder calls, texts, and emails to clients scheduled for the following day. Faxing or email intake packet for clients to complete prior to their appointment.
- Collect and update client information, including address, phone number, email address, and insurance coverage.
- Assist clients with completing intake forms and ensure all necessary documentation is completed and filed in their charts prior to their appointment.
- Manage billing and claims EOBs and following up on denials.
- Collect co-payments using a merchant machine and manage cash payments, accurately logging all transactions in the EHR and reconciling daily totals.
- Maintain office supplies and equipment, ensuring a well-stocked and functional work environment. Assist with keep office environment clean.
- Implement and maintain office policies and procedures.
- Handle confidential information with discretion and professionalism.
- Qualifications:
- Must be extremely organized and motivated.
- Must have a strong understanding of billing and coding.
- Experience with electronic health records (EHR) is required.
- Prior office front desk experience is highly desired.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office 1 Suite (Word, Excel, OutlookPay beginning at $23 with increase possible after probationary period and review.
Job Types: Full-time, Part-time
Pay: $18.50 - $19.00 per hour
