We are currently seeking an Operations Administrator for our Charlotte office. The Operations Administrator plays a key role in supporting daily business operations by serving as a central point of coordination between Operations, Project Management and other departments. This position is responsible for providing administrative, organizational, and reporting support to help ensure efficient project execution, strong communication, and exceptional internal and external customer service.
Key Responsibilities
- Champion and promote the company's commitment to safety and safety culture.
- Provide exceptional customer service to employees, clients, vendors, and visitors.
- Serve as a liaison between internal departments and external customers, vendors, and business partners.
- Support operational initiatives and collaborate across departments to help achieve company goals.
- Assist with the administration and coordination of company facilities, equipment, and property as needed.
- Partner directly with Project Managers to support project administration, reporting, documentation, monthly billing, collections, and overall project organization.
- Process incoming contracts and project documentation in a timely and accurate manner.
- Assist the Accounting Department with annual project closeout documentation and reporting requirements.
- Prepare and distribute meeting agendas, notes, and action items for weekly and monthly operational meetings.
- Maintain regular communication with operational leadership regarding project status, priorities, and day-to-day business activities.
- Coordinate meetings, events, conference room scheduling, and other office activities.
- Gather, summarize, and present information from meetings, reports, and various business sources to support operational decision-making.
- Develop, compile, format, and maintain reports, dashboards, presentations, and other business documents using Microsoft Office applications, including Excel and PowerPoint.
- Support process improvements and administrative initiatives that enhance operational efficiency.
Knowledge, Skills & Abilities

- Ability to build effective relationships across departments.
- Strong attention to detail, accuracy, and confidentiality.
- General knowledge of business administration and office operations.
- Advanced Microsoft Excel skills, including reporting and data analysis.
- Proficiency in Microsoft Office applications, including Word, Outlook, and PowerPoint.
- Construction industry knowledge and contract compliance experience preferred
Preferred Qualifications
- Construction industry experience preferred but not required.
- High School Diploma or equivalent required; Associate's degree preferred.
- Three to five years of administrative, operational support, project coordination, or office management experience.
- Experience supporting operations, project management, or construction teams is highly desirable.
