Our client a commercial cleaning company currently based in Waltham, MA is looking to bring on a Payroll Administrator on a direct hire basis ASAP for a Mon-Fri traditional office hours in-office position. They will move quickly through the interview process and will hire someone in the next 1-2 weeks.
This company is going to be going through a merger and will be moving into an office up in Andover, MA at some point in the next 3-4 months. This would be a Mon-Fri in-office position with traditional office hours.
The Payroll Administrator manages time and labor, payroll processing, benefits deductions, and financial reporting under the general direction of the Director of HR & Payroll and the CFO. This role ensures payroll policy enforcement, maintains time and attendance records, reconciles accounts, resolves employee pay discrepancies, and handles garnishments and unemployment claims and also union
Key Responsibilities:
- Payroll Processing: Oversee the timekeeping system and process weekly payroll runs to ensure accurate, timely payment of wages, overtime, PTO, commissions, and bonuses.
- Data Maintenance: Update and maintain employee pay history, leave balances, tax documents, benefits, direct deposits, and status changes (new hires, terminations, promotions).
- Deductions & Garnishments: Apply accurate statutory and voluntary deductions, including taxes, social security, pensions, and medical aid; monitor and respond to employee garnishments.
- Compliance & Audits: Ensure full compliance with local, state, and federal payroll regulations. Support internal/external audits by providing necessary documentation and controls.
- Reporting & Reconciliation: Generate payroll summaries, tax filings, and journal entries. Balance and reconcile payroll accounts, and manage year-end close and annual tax form issuance.
- Support: Serve as the primary point of contact to resolve employee queries regarding pay slips and tax withholdings with a customer-service mindset. Responding to unemployment claims.
Qualifications:
- Systems Proficiency: Experience with outsourced payroll/HRIS platforms (e.g., isolved People Cloud, ADP Workforce Now, Inova, UKG).
- Advanced Excel: Proficiency with lookup formulas, pivot tables, conditional formatting, and data reconciliation.
- Payroll Accounting: Foundational knowledge of debits, credits, accruals, and payroll journal entries.
- Regulatory Knowledge: Solid understanding of statutory deductions, overtime rules, minimum wage changes, and filing requirements. Union workforce payroll experience is a plus.
Education and Experience:
- Education: Associate Degree in Accounting, Finance, Business Administration, or a related field.
- Experience: Five years of full-time payroll experience utilizing Excel and outsourced payroll systems.
