ADMINSTRATION
Answer incoming calls and independently field questions and/or route calls to appropriate staff.
Provide customer service to walk ins. Greet all customers in a friendly and professional manner; accept assessment payments and supply a receipt.
Use Village Management Software (VMS) association management software.
Respond to phone inquiries using information from Association manuals, CC&Rs, Rules & Regulations, VMS Database and other administrative documents.
Data entry of phone numbers, change of address and email addresses into the system for new or current homeowners.
Scanning of documents and electronic filing.
Prepare (independently and from drafts) newsletters, flyers, notices and other publishing documents using MS Word or Publisher.
Enter compliance issues into VMS Database and process correspondence.
Assist Managers, AR and AP with filing.
Box/archive end of year documentation for client communities.
Assist Managers with special projects, research information for correspondence and/or assignments, special order items for Associations, follow-up on pending items, assist with archiving projects, and coordinate Association clubhouse reservations.
Perform other duties as assigned.

QUALIFICATIONS
High School Diploma or GED required.
Community Management experience preferred.
Ability to work in a fast-paced environment.
Ability to multi-task with acute attention to detail.

Proficient in MS Word, Excel, Outlook, Adobe Acrobat and Publisher.
Self-starter with ability to learn quickly and use available resources to research solutions.
Strong organizational, problem solving and analytical skills.
Ability to manage workflow amid shifting priorities.
Willingness to learn company processes and procedures and use new software.
Adaptable and dependable with solid attendance record.
Professional and respectful demeanor with all staff, clients, and customers.
