The Finance Secretary supports the financial operations of Merit Preparatory Academy by ensuring accurate and timely processing of financial transactions, maintaining financial records, assisting with budgeting and payroll, and providing exceptional customer service to students, parents, staff, and vendors. This position plays a vital role in maintaining the fiscal integrity of the school while supporting Merit Preparatory Academy's mission of fostering leadership, service, and learning.
Financial Operations

Process accounts payable, including purchase orders, invoices, reimbursements, and vendor payments.

Receive, record, and deposit school revenues, including student fees, donations, fundraising proceeds, and other receipts.

Maintain accurate financial records and supporting documentation in accordance with school policies and generally accepted accounting principles.

Reconcile bank accounts, credit card statements, and financial records as assigned.

Assist with monthly financial reporting and budget monitoring.

Track expenditures against departmental budgets and notify administrators of budget concerns.

Assist with payroll preparation by collecting timesheets, leave records, and payroll documentation.

Process purchase requests and ensure compliance with school purchasing procedures and state procurement requirements.

Maintain purchasing records and vendor files.

Assist with year-end financial closeout procedures and the annual independent audit.
School and Office Support

Provide courteous and professional customer service to students, parents, staff, vendors, and community members.

Assist families with school fee payments and answer questions regarding student accounts.

Maintain confidentiality of all financial, employee, and student information.

Provide front office assistance as needed during busy periods or staff absences.

Support school events by assisting with financial transactions, cash handling, and recordkeeping.
