Your Day-to-Day as a Service Writer
As a Service Writer, you serve as the primary point of contact between customers and service technicians, coordinating equipment repairs and maintenance from initial check-in through completion. Your responsibilities include:

Greeting customers, discussing service, repair, and maintenance needs, preparing repair estimates, and obtaining customer authorization before work begins

Gathering accurate equipment information, including make, model, serial number, hours, and reported concerns

Creating, maintaining, and closing detailed service orders
-
Coordinating with service technicians and the Service Manager to schedule and prioritize work
-
Communicating customer concerns clearly to service technicians
-
Keeping customers informed about repair status, costs, delays, and completion dates
-
Helping resolve customer concerns professionally and promptly
-
Reviewing completed work orders for accuracy, including labor, parts, and outside services
-
Explaining completed repairs and invoices to customers
-
Coordinating parts availability with the parts department
-
Identifying new parts and part categories that need to be added to increase customer satisfaction levels and checking on back-ordered parts for customers

Scheduling preventative maintenance and follow-up service

Processing warranty documentation and service claims as needed
-
Maintaining accurate customer and equipment service records

Assisting with service department invoicing, payments, and administrative duties
-
Assisting in parts runs as needed
-
Maintaining a clean and organized work environment, including sweeping, shoveling, stocking service displays, and keeping work areas neat and tidy to ensure accessibility and safety

Maintaining a safe and secure work environment by adhering to and striving to improve safety standards and reporting suspicious activity

Completing related tasks as assigned
Qualifications

Excellent customer service skills

Strong communication skills, including written, face-to-face, and over the phone

Strong computer skills and the ability to learn new software
-
Basic understanding of mechanical systems and repair terminology

Proven organizational skills and attention to detail

The ability to manage multiple priorities in a fast-paced environment

The ability to prepare accurate estimates and perform basic calculations
-
A valid driver's license with a clean driving record
-
The willingness to learn about equipment brand and products supported at Acme Equipment

The ability to work scheduled Saturdays and extended hours during peak seasons as needed
We'd Love if You Have
-
Previous experience in service writing, equipment service, automotive repair, agriculture, construction, trucking, or a related field
-
Familiarity with dealership management or work-order software
-
Experience processing manufacturer warranty claims
-
Knowledge of parts, labor rates, preventative maintenance, and service scheduling
Physical Requirements

Lift up to 50 lbs.

Sit, stand, and walk for the majority of your shift throughout the shop, yard, and office safely
-
Be comfortable working around operating equipment, shop noise, dust, grease, and varying weather conditions
-
Frequently push, pull, squat, bend, and reach
