Job Summary
We are an Equine hospital seeking a dedicated and compassionate individual to join our team as a receptionist and administrative assistant. As the first point of contact, you will play a critical role in ensuring that our clients and patients receive the highest level of customer service and attention to detail throughout their experience with us here at the clinic. We are looking for an individual with strong customer service and communication skills. The ability to multitask and thrive in a busy, sometimes stressful environment is a must. Anyone applying for this position needs to be able to answer phones, schedule appointments, greet clients, complete invoices, process payments, and more while helping our clients and patients throughout their visits to us. This individual will need to be highly organized and will be tasked with maintaining a clean, and well organized workspace at all times.
Duties
- Greet clients and visitors in a courteous and professional manner.
- Answer phone calls and manage the clinic's appointment calendar.
- Maintain electronic and paper records accurately and confidentially.
- Coordinate communication between clients and veterinary staff.
- Manage incoming and outgoing mail and email correspondence.
- Ensure that the offices and reception areas are clean and organized.
- Assist with basic administrative tasks such as filing, data entry, and billing.
- Provide general information to clients regarding clinic services, policies, and procedures.
- Collaborate with other team members to provide the highest standard of client and patient care.
- Taking detailed messages with special attention to gathering all important information regarding the patient and client to provide the best communication possible.
Qualifications/Experience
- Mature individual with previous experience running a front office.
- Horse experience with knowledge of Equine care and terminology.
- Professional communication skills both verbal and written.
- Detail oriented with a commitment to completing tasks in a timely manner.
- Strong organizational skills and attention to detail.
- Proficiency in all computer operations including Microsoft Office Suite.
- Ability to multitask and work effectively in a fast-paced environment.
- Display a compassionate and empathetic attitude towards clients and patients at all times.
- Takes initiative and has a desire to help others with a positive attitude and strong work ethic.
- High school diploma or equivalent required. Higher education or training in office administration or veterinary services is preferred.
Pay: $18.50 - $20.00 per hour
