Experienced Administrative Assistant / Supervisor

Position Summary
El Mirador Home Care is seeking a full-time Administrative Assistant / Supervisor to support daily operations within our Personal Care Services (PCS) program. This position combines administrative leadership, staff supervision, compliance oversight, and client service coordination to ensure the efficient delivery of quality care.
The Administrative Assistant / Supervisor serves as a key support to agency leadership by assisting with employee supervision, compliance monitoring, client service coordination, and operational management. This position requires a highly organized, dependable, and professional individual who can effectively manage multiple priorities in a fast-paced healthcare environment.
Essential Duties and ResponsibilitiesAdministrative and Operational Support
- Assist with the daily operations of the PCS department.
- Maintain accurate client, caregiver, and personnel records.
- Prepare reports, correspondence, and operational documentation as needed.
- Answer incoming calls and respond to inquiries professionally and courteously.
- Coordinate office activities, meetings, and staff communications.
- Assist with intake, scheduling, staffing, and client service coordination.
Staff Supervision and Compliance
- Assist with supervision and support of caregivers and administrative staff.
- Monitor employee compliance requirements, including CPR certifications, TB testing, driver's licenses, automobile insurance, background checks, and annual training requirements.
- Follow up with employees regarding missing documentation and compliance deadlines.
- Assist with onboarding, orientation, and training of new hires.
- Support management in addressing employee performance concerns and corrective actions.
- Ensure agency policies and procedures are consistently followed.
Client Services and Home Visit Coordination
- Schedule and coordinate client home visits and supervisory visits.
- Assist supervisors with client home visits, assessments, and documentation as needed.
- Maintain communication with clients, caregivers, case managers, insurance representatives, and healthcare providers.
- Assist with incident reporting, follow-up investigations, and corrective action documentation.
- Support continuity of care by addressing scheduling and service concerns promptly.
Quality Assurance and Regulatory Compliance
- Assist with preparation for Medicaid, MCO, state, and internal audits.
- Monitor documentation for accuracy, completeness, and regulatory compliance.
- Track required home visits, supervisory visits, and client service documentation.
- Assist with Electronic Visit Verification (EVV) and Authenticare compliance activities.
- Scan, upload, organize, and maintain electronic records.
- Support quality assurance initiatives and compliance improvement efforts.
Additional Responsibilities
- Participate in agency meetings, training sessions, and professional development activities.
- Assist with special projects and operational initiatives.
- Perform other duties as assigned by management.
QualificationsEducation and Experience
- High School Diploma or GED required.
- Associate's Degree or higher in Healthcare Administration, Business Administration, or related field preferred.
- Minimum two years of administrative experience required.
- Previous supervisory experience preferred.
- Experience in home care.

- Experience with EMR/EHR systems preferred.
- Bilingual English/Spanish preferred.
