Responsibilities
- Manage the overall day-to-day operations of W3's bookkeeping and payroll department, ensuring work is completed accurately, efficiently, and within established deadlines.
- Lead, supervise, train, and develop bookkeeping and payroll team members while providing ongoing guidance, feedback, and technical support.
- Assign and prioritize client work based on deadlines, team capacity, complexity, and client needs.
- Monitor departmental workloads and recurring responsibilities to proactively identify capacity concerns, missed deadlines, or workflow challenges.
- Establish clear expectations and accountability for team members and ensure responsibilities are followed through to completion.
- Oversee bookkeeping services for multiple business clients, including general ledger maintenance, transaction categorization, account reconciliations, accounts payable, accounts receivable, and month-end processes.
- Review financial statements, balance sheets, profit and loss statements, general ledger activity, reconciliations, and supporting documentation for accuracy and completeness.
- Review and approve adjusting journal entries and other accounting corrections as necessary.
- Oversee payroll processing for clients and ensure payroll is completed accurately and according to established schedules.
- Review payroll information including employee hours, compensation changes, deductions, reimbursements, new hires, terminations, and other payroll adjustments.
- Oversee payroll tax filings, payments, quarterly reporting, year-end processes, W-2s, 1099s, and other applicable payroll reporting requirements.
- Ensure bookkeeping and payroll records are maintained accurately and in accordance with established procedures and applicable requirements.
- Serve as an escalation point for complex bookkeeping, payroll, or client questions and work with team members to resolve issues efficiently.
- Manage and develop relationships with bookkeeping and payroll clients, ensuring responsive communication and a consistently high level of service.
- Communicate with clients regarding financial information, payroll matters, outstanding documentation, deadlines, reporting needs, and service expectations.
- Assist with onboarding new bookkeeping and payroll clients by reviewing existing records, identifying needs, establishing workflows, and coordinating the transition of services.
- Review client accounts and workflows to identify inconsistencies, outstanding items, or opportunities to improve accuracy and efficiency.
- Coordinate with W3's tax and accounting teams to ensure client books and financial records are complete, accurate, and prepared for tax filings and other reporting requirements.
- Develop, document, implement, and maintain standardized bookkeeping and payroll procedures, checklists, workflows, and quality-control processes.
- Establish review procedures to maintain consistency and accuracy across client engagements.
- Evaluate existing systems and processes and identify opportunities for automation, technology improvements, and increased departmental efficiency.
- Help establish scalable processes that allow the bookkeeping and payroll department to grow while maintaining quality and client service.
- Assist accounting leadership with evaluating department performance, staffing needs, service capacity, and opportunities for growth.
- Stay current on bookkeeping, payroll, and applicable regulatory requirements and communicate relevant changes to the team.
- Maintain strict confidentiality when handling client financial information, payroll records, employee information, and other sensitive data.
- Promote a collaborative, accountable, and client-focused environment consistent with W3 Financial Group's core values.
- Perform additional bookkeeping, payroll, management, and accounting-related responsibilities as needed to support the department and organization.
Experience
- Bachelor's or associate degree in Accounting, Finance, Business Administration, or equivalent experience
- 3–5+ years of bookkeeping, accounting, payroll, or related professional experience preferred.
- Public accounting (multiple client) experience required
- Prior management, supervisory, or team leadership experience strongly preferred.
- Experience managing multiple clients, entities, or recurring accounting engagements preferred.
- Strong knowledge of bookkeeping principles, general ledger accounting, reconciliations, financial statements, and month-end processes.
- Strong understanding of payroll processing, payroll reporting, and related compliance requirements.
- Experience with QuickBooks or similar accounting software required; QuickBooks Online experience strongly preferred.
- Experience with payroll processing systems and Microsoft Office, particularly Excel.
- Demonstrated ability to manage and develop employees, delegate responsibilities, and maintain accountability.
- Strong problem-solving and analytical skills with the ability to identify discrepancies and determine appropriate solutions.
- Excellent organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills with the ability to communicate effectively with clients, employees, and leadership.
- High level of attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive financial and employee information.
