Joey Gilbert Law is seeking an exceptional Part-Time Executive Assistant to serve as the right hand to attorney Joey Gilbert. This is a unique opportunity for a highly organized, proactive, and resourceful professional who thrives in a fast-paced environment and enjoys solving problems before they arise.The Executive Assistant will play a critical role in supporting daily operations, managing complex schedules, and coordinating communications. This position requires professionalism, discretion, strong judgment, and the ability to manage multiple priorities with confidence.
Responsibilities
- Manage Mr. Gilbert's complex calendar, scheduling court appearances, meetings, travel, and personal commitments while resolving conflicts proactively.
- Screen and manage incoming calls, emails, and correspondence with professionalism and exceptional client service.
- Draft, proofread, and edit correspondence, legal communications, presentations, and reports.
- Coordinate meetings, conferences, speaking engagements, and special events.
- Arrange business and personal travel, including flights, lodging, transportation, and itineraries.
- Maintain organized electronic and physical filing systems using Microsoft Office
- Track deadlines, prioritize competing tasks, and ensure important matters receive timely attention.
- Support office operations by assisting with supply management, vendor coordination, and administrative workflows.
- Work closely with attorneys and staff to ensure seamless communication and office efficiency.
- Handle a variety of executive and personal assistant responsibilities while maintaining the highest level of confidentiality.
Qualifications
The ideal candidate will possess:
- Previous experience as an Executive Assistant, Personal Assistant, or similar administrative leadership role.
- Outstanding organizational and time-management skills.
- Exceptional written and verbal communication abilities.
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent typing, proofreading, and data entry skills with meticulous attention to detail.
- Experience managing multi-line phone systems and providing outstanding customer service.
- Ability to prioritize numerous projects while remaining calm under pressure.
- Professional demeanor with excellent phone etiquette and interpersonal skills.
- Bilingual (English/Spanish) candidates are strongly encouraged to apply.
