We are seeking an experienced, motivated, and enthusiastic Office Manager to lead both the front-facing and back-end operations of our practice. This role is ideal for a dynamic leader who thrives in a fast-paced healthcare environment and enjoys building systems, developing teams, and driving operational excellence.
Position Overview
As the Office Manager, you will serve as the cornerstone of the clinic's daily operations, leading from the front while ensuring all administrative and operational functions run smoothly behind the scenes. You will oversee team initiatives, compliance efforts, financial and HR processes, and operational workflows while helping uphold Medovate's culture, values, and growth objectives.
Key Responsibilities
Leadership & Team Operations
- Drive and manage daily Strategic, Operational, and Tactical (SOT) initiatives.
- Lead weekly team meetings and facilitate communication across departments.
- Assign and delegate responsibilities based on individual strengths and business needs.
- Provide coaching, feedback, and accountability using established communication and performance management tools.
- Foster a positive, collaborative, and high-performing work environment.
- Manage and support a team of approximately 10–15 employees.
- Maintain a visible leadership presence within the office to assess performance and support team development.
- Lead internal projects using established systems, tools, and resources.
- Support practice growth through public relations, community outreach, and business development activities.
Administrative & Clinical Oversight
- Manage employee scheduling, onboarding, offboarding, and HR documentation.
- Ensure compliance with HIPAA, OSHA, CLIA, and all applicable healthcare regulations.
- Oversee provider licensing, credentialing, and insurance enrollment processes.
- Coordinate practice insurance coverage and related administrative requirements.
- Maintain and continuously improve training manuals, policies, and onboarding procedures.
- Serve as the primary liaison with external partners, including CPA firms, IT vendors, and billing services.
- Support clinical and administrative operations as needed to ensure seamless patient care and office workflow.
Financial, Compliance & Regulatory Management
- Oversee cash flow, accounts payable and receivable, payroll administration through Paylocity, and bank transactions.
- Partner with billing and CPA teams to support financial oversight and regulatory compliance.
- Monitor IRS, IDR, and other applicable reporting requirements.
- Coordinate with vendors regarding supplies, equipment purchases, repairs, and facility maintenance.
- Manage cosmetic and self-pay charges, including adjustments and charge corrections within the EMR system.
- Administer employee benefits, including 401(k) and related programs.
Qualifications
Required
- Bachelor's degree required.

- Minimum of 2 years of experience in customer service, leadership, or team management.
- Excellent written and verbal communication skills.
- Strong organizational, problem-solving, and multitasking abilities.
- Proficiency with Google Workspace applications, including Docs, Sheets, Slides, Drive, and Gmail.
Preferred
- Experience with ModMed/EMA, Paylocity, or similar healthcare and HR systems.
- Knowledge of medical billing, insurance correspondence, and revenue cycle processes.
- Experience managing HR functions, scheduling, compliance, and operational workflows.
- Previous medical office management experience, preferably within dermatology or another specialty practice.
