Role Overview
We are seeking a New Patient Coordinator to welcome, support, and guide prospective patients as they begin their healing journey. This role blends relationship-building, resource sharing, and clear clinic orientation to ensure every new patient feels informed, supported, and prepared for a smooth and impactful healing journey. You’ll play a key role in connecting patients with the right practitioner and setting them up for success.
This is a full-time position available immediately. Training will begin in-office for 3-4 months with our Front Desk team 9-5pm, Monday through Friday before transitioning into a primarily remote role as New Patient Coordinator in November.
Key Responsibilities
- Build rapport with prospective patients, listen to their stories, and share resources with compassion and clarity.
- Represent our clinic accurately by setting realistic expectations, explaining policies, and ensuring patients are a good fit for our services.
- Develop expertise in each practitioner’s approach, offerings, and modalities to guide patients toward the best provider match.
- Serve as a reliable point of contact for new patients until their first appointment, ensuring communication is clear, supportive, and well-documented.
- Share responsibility with intake team members for Discovery Calls, coverage, and process improvements.
- Collaborate with marketing and clinic teams to identify patient trends, support outreach, and keep provider caseloads full.
- Contribute ideas for workflow improvements, team systems, and patient experience enhancements.
- (Optional) Step into leadership opportunities as the role and team expand.
Qualifications
- Knowledge of integrative or holistic healthcare.
- Experience in small business sales, marketing, recruitment, or public relations.
- Strong computer and project management skills.
- Excellent communication skills with the ability to balance warmth and professionalism.
- Detail-oriented, organized, and proactive in solving problems.
- Skilled at setting expectations and navigating sensitive health-related conversations with empathy.
