Project Coordinator / Administrator

Position Summary:
The Project Coordinator / Administrator provides critical administrative and operational support
to the Florida Project Management team, ensuring projects stay organized, compliant, and
executed efficiently. This position serves as the primary liaison between field operations,
subcontractors, trucking partners, and vendors badging and access while managing day-to-day
coordination activities.
Working from our Cocoa, FL satellite office, this individual will play an integral role in
supporting heavy civil construction projects involving excavation, underground utilities,
demolition, and related infrastructure work. Due to the nature of our projects, the successful
candidate must be capable of obtaining and maintaining required security clearances and access
credentials on the Kennedy Space Center and Cape Canaveral Air Force Base sites.
Key Responsibilities
Project Coordination
- Coordinate utility locate requests and track completion to support project schedules and
field operations.
- Manage and monitor utility coordination activities with project teams and external
agencies.
- Assist Project Managers with project documentation, reporting, and administrative tasks.
- Maintain organized project files, logs, permits, and correspondence.
- Assist in rental equipment management and tracking.
SecurityAccess Coordination
- Coordinate personnel badging for employees, subcontractors, and visitors requiring site
access.
- Manage trucking and delivery badging requirements to ensure uninterrupted site logistics.
- Track expiration dates and renewal requirements for badges and access credentials.
- Work directly with client security representatives to facilitate approval and compliance.
Occasional visits to the sites and badging stations
Office Administration
- Provide general administrative support for the Florida operations office.
- Answer phones, coordinate meetings, and maintain office organization.
- Assist with document preparation, data entry, filing, scanning, and record management.
- Support onboarding activities for new employees and project staff.
- Coordinate office supplies and vendor communications as needed.
Operational Support
- Interface with field personnel to ensure documentation and administrative requirements
are completed.
- Assist with subcontractor documentation and compliance tracking.
- Assist with maintaining project reporting spreadsheets and databases.
- Support invoice processing, purchase order tracking, and other project controls as
assigned.
- Perform additional duties as assigned to support successful project execution.
Qualifications
- Associate degree or equivalent experience preferred.
- 3+ years of administrative or project coordination experience, preferably in construction,
heavy civil, engineering, or infrastructure industries.
- Experience working with multiple projects and deadlines in a fast-paced environment.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Ability to prioritize competing responsibilities while maintaining accuracy and
professionalism.
