Job Overview:
We are seeking a highly skilled and organized individual to serve as an Executive Assistant. The successful candidate will be responsible for providing top-notch administrative support to the COO and other executives, ensuring seamless day-to-day operations. Responsibilities:
- Provide executive administrative support to the COO, including calendar management, travel coordination, and correspondence.
- Coordination and oversight of Physician Fellowship Program.
- Manage and maintain complex calendars, schedules, and records.
- Prepare and edit documents, reports, and presentations, including transcribing meeting minutes and typing correspondence.
- Conduct data entry and maintain accurate records, including filing documents and updating databases.
- Plan and coordinate events, meetings, and travel arrangements as needed.
- Perform a range of clerical duties, including answering phone calls, responding to emails, and handling mail and packages.
- Develop and maintain organizational systems to ensure efficient and effective operations.
- Provide personal assistant services to the COO, including managing schedules, making travel arrangements, and coordinating with other executives.
- Serve as a liaison between the COO and other departments, providing support and information as needed.
- Maintain confidentiality and handle sensitive information with discretion.
Experience:
- Experience in an executive administrative role, preferably supporting a senior executive.
- Proven track record of providing exceptional administrative support, with a strong focus on organization, attention to detail, and discretion.
- Experience with calendar management, event planning, and meeting minutes.- Power Point experience
- Ability to work independently and as part of a team, with excellent communication and interpersonal skills.
- Familiarity with office software and technology, including Microsoft Office, Google Suite, and other productivity tools.
- Bachelor's degree in a relevant field is preferred.
