Responsibilities
- Greet visitors and answer multi-line phone systems with professionalism and enthusiasm, ensuring each caller receives prompt, courteous assistance
- Manage appointment scheduling and calendar management using productivity software such as Microsoft Office and Google Workspace
- Handle data entry tasks accurately, including filing, record keeping, and updating customer information in various databases like QuickBooks
- Provide comprehensive customer support by addressing inquiries, resolving issues, and offering product or service information with excellent phone etiquette
- Assist with office management duties such as filing, proofreading documents, and maintaining organized workspaces to enhance overall efficiency
- Support administrative tasks including bookkeeping, invoicing, and basic clerical duties that keep daily operations running smoothly
- Collaborate with team members to improve office procedures and ensure timely completion of tasks while demonstrating strong organizational skills and time management
Experience
- Prior experience in office management or administrative roles is highly preferred
- Demonstrated customer service experience in a front desk or reception setting
- Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
- Familiarity with QuickBooks or similar bookkeeping programs is advantageous
- Strong typing skills along with data entry accuracy and attention to detail
- Experience working with multi-line phone systems and providing professional phone etiquette
- Bilingual abilities are a plus to effectively serve diverse customer needs
- Previous roles such as dental receptionist, medical receptionist, or personal assistant can provide valuable relevant experience
