Position Title: Project Coordinator & Meeting/Logistics Manager
FTE / Level of Effort: 1.0 FTE Reports To: IT Portfolio Manager / Deputy Program Manager
Position Summary
Revolve Solutions, LLC is seeking a Project Coordinator & Meeting/Logistics Manager to support meeting operations, scheduling, logistics, document control, and administrative coordination for HRSA HAB. This role will coordinate recurring meetings, prepare agendas and minutes, support in-person and virtual events, track compliance items, and help keep project activities organized and on schedule. The ideal candidate is highly organized, detail-oriented, comfortable supporting federal clients, and skilled at managing multiple priorities in a fast-paced contract environment.
What You’ll Do
Task 6 - Meeting Logistics (Primary Owner):
○ Coordinate all logistics for Annual Portfolio Management Review (APMR) sessions and related governance events
○ Manage conference room reservations, virtual meeting setup, and hybrid meeting technology requirements
○ Arrange travel logistics for team members attending in-person briefings in Rockville, MD
○ Maintain centralized meeting calendars and ensure stakeholder availability alignment
Task 7 - Weekly/Biweekly Meeting Support:
○ Prepare and distribute meeting agendas two business days prior to scheduled meetings
○ Capture and distribute comprehensive meeting minutes within two business days following meetings
○ Support weekly COR calls and biweekly automation-team meetings with scheduling and documentation
Task 3.4 - Advanced Analysis Briefing Support:
○ Coordinate logistics for in-person results briefings at HRSA headquarters
○ Manage scheduling between Governance & Analysis Lead and client stakeholders
Cross-Task Administrative Support:
○ Maintain document control procedures for all contract deliverables and correspondence
○ Track Section 508 Accessibility Compliance Checklist submissions across all task areas
○ Coordinate with subcontractors and client personnel on scheduling and resource availability
○ Manage travel arrangements including authorizations, reservations, and expense documentation
Required Qualifications
○ Bachelor's degree in Business Administration, Project Management, or related field
○ 3-5 years of experience in federal project coordination or contract administration
○ Demonstrated proficiency with Microsoft 365 suite (Outlook, Teams, SharePoint, Word, Excel) - Required
Preferred Qualifications
○ Certified Associate in Project Management (CAPM)
○ Prior experience supporting HHS or HRSA contracts
○ Familiarity with federal travel regulations and coordination requirements

Clearance / Suitability
This position requires Public Trust clearance and HHS suitability determination. Candidates must successfully complete the background investigation process.
Work Location
This position is performed off-site at the contractor facility using government-furnished laptop equipment. Occasional in-person meetings may occur at 5600 Fishers Lane, Rockville, MD for governance briefings and coordination activities.
Contract Context
This position is contingent upon contract award.
Pay: $75,000.00 - $80,000.00 per year
