Job Summary:
We are currently seeking skilled and team-oriented applicants for the following position: Program Coordinator to support EWU's Office of the Registrar's Records and Registration functions. The Office of the Registrar at EWU strives to support students through their academic journey and beyond. The Program Coordinator - Records and Registration will, under general supervision:
Provide comprehensive, exceptional customer service regarding registration services to include assistance with online registration, process in-person registration and process special population registrations.
Complete a variety of student record data entry, as well as research and resolve registration and record errors.
Participate as a positive and supportive team member of Records and Registration.
The major duties and responsibilities include but are not limited to student registration services, administrative student support, record maintenance, and some general oversight of the work-study students at the information desk. This position reports to the Associate Registrar. A full description of the duties can be found in the job duties section of this posting.
A successful candidate for Program Coordinator - Records and Registration should be detail oriented, collaborative, manage time well, and provide good customer service.

The salary for this position is $45,768.00 - $52,644.00 being offered. Where the hired candidate will begin within this range is dependent on education, experience, and skills.

Required Qualifications:
High school graduation or GED
Two years' full-time clerical experience
Experience in customer service and solving customer issues
Experience in data entry
Excellent attention to detail, verbal/written communication skills, and organizational skills
Excellent use of interpersonal skills in an office setting, particularly when answering the phone and responding to emails from students, staff, and faculty
Evidence of effective communication skills
Experience in MS Office software suite including Word, Excel, and Outlook
Candidate must demonstrate interest, ability and/or experience promoting cultural competency, universal accessibility, and/or diversity.
Preferred Qualifications:
Associate or Bachelor's degree (any field)
Experience working in student services in a higher education setting.

Proposed Job Duties & Responsibilities

Student Registration Services:
Process in-person registration forms, registration requests via email, non-degree seeking registration forms, Eastern Online registrations, EWU Continuing Education registrations, Washington State and EWU employee tuition waivers, Running Start or EWU in the High School registrations, and course audits.
Process course drops, complete withdrawals, drops due to nonattendance per instructor request, enrollment cancellations, and assist with drops due to lack of pre-requisites.
Help to explain and resolve registration errors such as max capacity errors, prerequisite errors, credit overload errors, time conflicts, etc.
Explain and resolve registration holds such as account balance holds, academic standing holds, new student holds, major declaration holds, etc.
Explain university policy on course repeats.
Explain the waitlist process to students, check on waitlist status of students, monitor the waitlist email account, follow up on waitlist issues, and collect and process registrations for students with the instructor's approval to add a class that is full (processed on 3rd day of the term).
Exercise independent judgment in the interpretation of federal and state policies, University policies, and departmental procedures.
Determine when exceptions to drop/add deadlines, fees, etc. are applicable due to university error.
Communicate with faculty, staff, and departments regarding student registrations.

Administrative and Student Support:
Respond to walk-ins, phone calls and emails from students, faculty and staff with excellent customer service. Refer students to appropriate staff in Records and Registration and student services depending on need.
Make students aware of academic resources such as Degree Audit, myEWU Portal, EagleNET, and Schedule Planner and provide basic instruction on these tools.
Provide information on Records and Registration services such as transcript requests, enrollment verifications, graduation applications, major declarations, exceptional circumstance requests, in/out-of-state residency changes, and address/name changes.
Maintain knowledge of important dates within Records and Registration, including registration, refund, and withdrawal deadlines.
General oversight over the work/performance of the student workers at the information desk.

Create new student records prior to registration for new non-matriculated student registrations.
Research students' prior degrees on National Student Clearinghouse.
Correct errors to degree status, student level, student program, and other student records based on audit reports.
Enter codes in Banner to allow priority registration for special populations.
Maintain an in-depth understanding of the Banner student information system and document
imaging system.
Maintain an in-depth knowledge of FERPA regulations and other related student privacy policies and procedures.
Maintain front desk procedural manuals.
