Corporate Receptionist
The Corporate Receptionist serves as the first point of contact for visitors and callers to our organization. This role requires excellent communication skills, professionalism, and the ability to manage multiple tasks efficiently. The primary responsibilities include greeting visitors, answering and directing phone calls, managing appointment schedules, and performing administrative duties to support the smooth operation of the office. The position demands a friendly and approachable attitude, as well as the ability to adapt to changing priorities throughout the workday.
Key Responsibilities
- Greet visitors and clients in a courteous and professional manner.
- Ensure all guests are signed in and out with proper passes.
- Answer incoming calls and direct them to appropriate personnel.
- Manage the reception area to ensure it remains tidy and welcoming.
- Handle all incoming and outgoing mail and deliveries and delivering to appropriate person’s mailbox.
- Provide correct information about the organization to visitors and callers.
- Maintain and update company contact lists and directories.
- Assist with administrative tasks such as data entry, filing, and document preparation for the corporate management team.
- Maintain all office supplies and ensure orders with purchasing.
- Provide correct information about the organization to visitors and callers.
- Organize office events with marketing and sales.
- Organize and upload all unit-related paperwork into CRM system.
- Accurately enter paperwork for all incoming parts and products into IQMS system
- Assist accounts payable in price changes of products.
- Log all incoming checks for sales and accounting.
- Bookkeeping of all packing slips, invoicing and assist accounts receivable with all related paperwork.
- Audit production excel sheet daily to ensure all completed trailers are marked as "Ready to Ship" and QC notes reflect a finished trailer.
- Perform a final administrative "QC" check to ensure every trailer matches its build sheet, including - Confirming the Vehicle Identification Number, Dealer, Serial number and quantity is correctly logged.
- More duties assigned by manager as they may arise.

- Proficiency in office software such as Microsoft Office Suite
- Ability to handle stressful situations calmly and efficiently
- Confidentiality in a multidepartment setting.
- Previous experience in a receptionist or administrative role is preferred
Work Hours
This role reports to the Sales Manager and requires working during standard business hours, 8am to 5pm Monday through Friday. Hour lunch 11am-12pm.
