We have an excellent opportunity for a full-time Facilities Office Lead based in our San Dimas, CA* office. The Facilities Office Lead owns the operating experience of the office including service standards, presentation, and the day-to-day running of the building.

General Responsibilities

Office Leadership and Building Presence - Serve as the on-site owner and primary point of contact for the office. Set, model, and uphold service standards, presentation, and the operating experience for all occupants and visitors. Serve as the primary facility communicator.

Operating Model Development and Maintenance - Develop and maintain the office operating model defining service standards, ownership, work order processes, budget and approval rules, reporting, and escalation paths. Keep it current as the office matures.

Operating Budget Ownership - Own and manage the office operating budget covering services, vendor contracts, supplies, consumables, and recurring costs. Track actuals against budget, manage approval workflows, and escalate recurring repair trends.

Building Systems Maintenance and Reliability - Ensure all office building systems including HVAC, electrical, plumbing, fire life safety, and elevators are maintained and operating reliably and safely, coordinating with the INO maintenance team responsible for building systems and preventive maintenance. Ensure issues are resolved promptly.

Cleaning and Presentation Standards - Ensure cleaning, restroom upkeep, and presentation standards are met across the office throughout the business day, coordinating with INO janitorial responsible for cleaning services. Monitor quality and address gaps to maintain company presentation standards.

Reception and Mail Services - Ensure front-of-office reception coverage, visitor handling, and incoming and outgoing mail services are delivered to company standards, coordinating with Customer Service responsible for reception and mail.

Vendor and Service Provider Management - Manage vendor and service-provider relationships supporting the office. Manage contracts, service levels, performance, and spend against budget.

Daily Office Services and Presentation - Own daily office services including break rooms, conference room readiness, common areas, consumables, and general building appearance to company standards.

Safety, Emergency, and Access Coordination - Own safety coordination and emergency readiness including evacuation drills, parking management, access protocols, and visitor logistics. Maintain emergency response plans and confidentiality regarding sensitive areas.

Events and Special Programs Support - Support internal events and special programs with facility accommodations. Ensure conference spaces and common areas are prepared and supported.

Reporting, Continuous Improvement, and Records - Track and report office performance and continuous improvement. Oversee on-site storage of company property and the handling of sensitive materials requiring special care and confidentiality.

Salary Range is $81,744-$102,180
The above represents the expected pay range for this job requisition. Ultimately, in determining your pay, we will consider your experience and other job-related factors. -
Office Hours: Monday-Friday, 8:00 am-5:00 pm

On-call availability required during all occupied building hours, including early mornings, evenings, and weekends to support call center operations and building emergencies

Qualifications

High School Diploma or GED; required
-
Bachelor’s Degree in Business Administration, Hospitality, Operations Management, Facilities Management or related field;preferred
- 5+ years' experience in operations, facilities, hospitality, or office or site management with budget responsibility; required
-
2+ years' experience with coordinating services, vendors, or internal teams to deliver building operations, required
-
1+ year of experience in facilities operations or building services exposure; preferred
-
Certified Facility Manager (CFM) or Facilities Management Professional (FMP); preferred
-
OSHA 30-Hour General Industrial or Construction; preferred
-
PMP or other Project Management Certification; strong preferred
-
Intermediate to advanced proficiency across multiple software platforms to include: MS Office Suite, ServiceNow or equivalent CMMS/ticketing platform, DocuSign or similar document management tools, building automation/BMS software, and project management tools (i.e. Asana)

Strong knowledge in corporate office or commercial building operations, facility services, and the occupant experience

Familiarity with facility operating budgets, vendor and service contracts, and the development of service standards

General awareness of building systems sufficient to oversee maintenance and service delivery without requiring hands-on technical expertise

Understanding of safety, emergency, and evacuation coordination in an occupied office

Effective verbal and written communication across project teams, contractors, vendors, and internal stakeholders

Detail-oriented with a commitment to quality and long-term thinking
