The jobholder is responsible for planning and managing all aspects of the voyage from start to finish. This includes overseeing operational execution, optimising voyage results, coordinating with the chartering department and other involved parties, and ensuring customer expectations are met.
The jobholder is responsible for the following major areas of responsibility:
Vessel Operations Management
The jobholder manages all aspects of vessel operations within the relevant trade group. This includes ensuring communication with vessels, local offices, procurement, ship managers, agents, stevedores, associated companies, and subcontractors is accurate, timely, and aligned with work instructions, charter-party terms, and contract conditions.
Voyage Planning and Execution
The jobholder plans each voyage from start to finish, anticipates potential issues, adjusts plans as needed, and implements corrective measures to achieve the most cost-effective operational outcome.
Voyage Efficiency and Cost Control
The jobholder is responsible for optimising voyage efficiency, including minimising voyage-related costs and time wherever possible.
Cargo Planning and Documentation
The jobholder calculates cargo intake as required and coordinates the preparation of pre-stow plans in accordance with the Voyage Planning and Execution Procedure. The role also includes managing the preparation and distribution of final stow plans, detailed tier plans, and load/discharge reports as needed.
Specific Voyage Responsibilities
- Ensure vessels are optimally bunkered.
- Ensure necessary equipment and consumables are available and ready in the required ports.
- Prepare and distribute voyage instructions.
- Enroll STTC vessels in WNI or equivalent.
- Nominate surveyors as needed or required.
- Manage documents for discharge.
- Secure and file sailing documents.
- Finalize, distribute, and file final stow plans.
- Coordinate closely with the Port Captain and/or local operations staff throughout vessel loading or discharge to support the most cost-efficient coastal passage.
- Monitor and follow up on all vessel performance issues, including off-hire matters for owned or time-chartered ships.
- Ensure the voyage management system, including the vessel schedule, is properly updated at all times.
- Ensure all cargo documents are completed and distributed as required by BMS, charter parties, and/or contracts.
- Ensure required Letters of Indemnity are prepared in accordance with company policy.
- Ensure appropriate notices are given to the insurance and claims department and internal procedures are followed for any planned ice call.
- In cases of claimed damage to ship or cargo, ensure appropriate actions are taken to protect the company’s interests, seeking guidance as needed.
- Participate in and contribute to other operational activities and internal demands as a member of the operations management team.
Additional Operational Responsibilities
- Support supplier management by helping the Company monitor and manage port service providers effectively, coordinating feedback from local staff and the regional operations team.
- Assist in contract renegotiations as needed.
- Ensure all Company systems and records are kept updated.
- Complete administrative tasks, including Macura follow-up and approval of FDAs and invoices.
- Gather information to support trade meetings, discrepancy meetings, management reporting, and other operational enquiries.
- Contribute to the preparation and execution of action plans.
Knowledge and Skill Requirements
Education
Maritime degree at Bachelor level, such as shipping operations, or an equivalent maritime qualification.
Training
Specialised or technical maritime training preferred.
Experience
- Substantial operational experience, preferably in dry cargo or break-bulk operations.
- Sailing experience is an advantage.
- Minimum of three years’ shipping experience, preferably in an equivalent role.
Finance and Commercial Skills
- Experience with budget preparation, budget control, and follow-up.
- Full understanding of voyage accounts.
- Strong commercial awareness.
Specialist Skills
- Knowledge of all aspects of voyage planning and execution, including documentation and voyage accounts.
- High level of awareness of customer needs and expectations.
