Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency
- Handle incoming calls using multi-line phone systems, directing inquiries with professionalism and courtesy
- Prepare, proofread, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace productivity software
- Maintain accurate records through data entry, filing, and updating spreadsheets for various projects and administrative tasks
- Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping with QuickBooks or similar software
- Serve as front desk receptionist by greeting visitors, managing phone communication, and providing excellent customer service
- Assist with office management duties such as supply ordering, document organization, and ensuring a tidy workspace
Requirements
- Proven experience in office administration or executive support roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong computer literacy including familiarity with bookkeeping software like QuickBooks and technical proficiency in office productivity tools
- Exceptional phone etiquette and customer service skills, including experience with multi-line phone systems and client communication
- Bilingual abilities are highly desirable to support diverse client interactions
- Previous experience as a personal assistant or medical/dental receptionist is a plus but not required
- Ability to handle confidential information discreetly while maintaining high levels of accuracy in proofreading and document management
- Demonstrated time management skills with the capacity to multitask efficiently across various responsibilities
