Job Summary: The Administrative Assistant provides administrative and office support to ensure smooth daily functions and providing exceptional support to staff and clients alike. This position assists with office management, communications, data entry, meetings, events, fundraising, grant support, and general administrative duties. From managing communications to coordinating schedules, your contributions will be essential in keeping our office running seamlessly and professionally
Qualifications: Previous administrative or office experience preferred.Strong organizational, communication, and customer service skills.Proficiency in Microsoft Office and basic computer applications.Ability to manage multiple tasks with the ability to prioritize tasks, maintain confidentiality.Valid driver's license and reliable transportation are required.
Educational Requirement: High school diploma required; Bachelors’ degree preferred.
Skills: Organization and time management skills with a proven ability to meet deadlines. Excellent interpersonal, verbal, written, and communication skills.Attention to detail.* Excellent technical skills (Word, Excel, Outlook) along with experience using spreadsheets for data organization.Customer service. *Ability to work independently and as a team.
Pay Range: $26 - $28 per hour depending on experience.
Essential Duties and Responsibilities:
- Pick up, sort, and distribute mail.
- Ensuring the reception area, kitchen, conference room, and common areas are clean, organized, and welcoming.
- Answer and direct incoming phone calls.
- Order office supplies.
- Prepare thank-you letters.
- Make bank deposits.
- Maintain staff, board, interns and contact lists.
- Assist with preparing and distributing board meeting packets and meeting minutes.
- Coordinate staff and department of meetings, including agendas, refreshments.
- Submit Quarterly Fund reports.
- Organize grant files and assist with grant renewals.
- Update annual letters and organizational calendars.
- Schedule required inspections and maintain records for Licensure.
- Assist with scheduling appointments and filing documents for SU/MH evaluations.
- Assist with planning and coordinating fundraising events (preparing sponsorship materials, solicit donations, coordinating event logistics, and send acknowledgments), conferences, and community outreach activities.
- Provide support to the HR and Finance departments as needed.
