Position Summary
The Wall Tile Production Coordinator is responsible for coordinating wall tile projects from order placement through installation completion. This role serves as the primary liaison between customers, vendors, installers, sales representatives, project managers, and internal departments to ensure projects are completed accurately, efficiently, and on schedule. The position requires strong organizational skills, scheduling expertise, customer service, and accurate data entry.
Essential Functions and Responsibilities
Project Coordination
- Coordinate wall tile projects from order entry through completion.
- Monitor project timelines and communicate status updates.
- Review project documentation for completeness and accuracy.
- Resolve scheduling conflicts and project-related issues.
Ordering and Material Management
- Place orders for tile, trims, setting materials, and related products.
- Verify quantities, specifications, colors, and delivery requirements.
- Track purchase orders, vendor confirmations, and deliveries.
- Communicate backorders, shortages, and delays.
Installation Scheduling
- Schedule installation crews based on project requirements and material availability.
- Maintain daily and weekly installation calendars.
- Confirm appointments with customers and installers.
- Ensure installers have complete job information before scheduled installations.
Data Entry and Documentation
- Enter customer, project, scheduling, and order information into company systems.
- Process work orders, purchase orders, invoices, and project documentation.
- Update project notes, status changes, and completion records.
- Generate reports and maintain accurate records.
Customer Service and Communication
- Serve as a primary point of contact regarding project scheduling and status.
- Communicate professionally with customers, vendors, installers, and internal staff.
- Assist in resolving customer concerns and scheduling issues.
Administrative Support
- Maintain project files and documentation.
- Assist with reporting, record retention, and departmental initiatives.
- Support management with special projects and process improvements.
Qualifications
- High school diploma or equivalent required.
- Minimum two years of scheduling, administrative, customer service, project coordination, flooring, tile, or construction industry experience preferred.
- Strong data entry skills with a high degree of accuracy.
- Proficiency in Microsoft Office, Outlook, Excel, and scheduling software.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and deadlines simultaneously.

Pay: $18.00 - $20.00 per hour
