Job Overview
We are seeking a dynamic and detail-oriented Legal Assistant to join our dedicated legal team to share administrative support duties for several attorneys. In this vital role, you will provide comprehensive administrative and legal support across a wide range of practice areas, ensuring smooth operations and efficient case management. Your proactive approach and strong organizational skills will help facilitate legal processes, support attorneys, and enhance client service. This paid position offers an exciting opportunity to support work primarily in the areas of tax planning, significant transactions, trusts and estates, and philanthropy.
Key Responsibilities
- Maintain calendars for attorneys which includes scheduling meetings and anticipating needs
- Manage inflow and outflow of mail, visitors and phone calls. Know clients and build relationships that facilitate the highest level of client support
- Draft and/or proofread documents and letters for attorney review with potential to assume additional paralegal responsibilities
- Enter time, prepare and process bills
- File, organize, scan, copy and distribute legal documents in a timely manner
- Answer phone calls, take notes/messages and redirect calls when appropriate
- Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders
- Work as a team with other staff members on general office administration (e.g., maintaining office supplies, handling conference room needs, coordinating with various service providers)
Qualifications
- 5+ years' experience as a legal assistant at a law firm
- Post high school coursework or certification relevant to this area, or equivalent experience
- Familiarity with legal documents and terminology
- Working knowledge of legal information systems
- Ability to type with a speed of at least 50 wpm with high accuracy
- Proficiency with Microsoft Office programs including Word, PowerPoint, Excel and Teams
- Self-starter with proven ability to effectively prioritize, multi-task and meet deadlines
- Team player with demonstrated ability to work with personnel and clients at all levels
- Reliable with strong work ethic
- Demonstrated commitment to delivering the highest level of client support and exceptional quality work at all times
- Organized with strong attention to detail
- Personable and professional demeanor
- Superior written and oral communication skills
- Ability to read Hebrew or French a plus
